Google Business Profile Setup and Optimization

Create, verify and manage a complete, accurate Google Business Profile that helps nearby customers find you, trust you and contact you.

Often the First Impression Customers Get

When someone searches for your business name, or for a service near them such as a dentist, a coaching centre or an AC repair service, Google often shows business profiles before ordinary website results. These profiles display your name, category, rating, reviews, photos, opening hours, address or service area, phone number, website link and directions. For many local customers, this is the first and sometimes only thing they look at before calling, visiting or choosing a competitor. A complete, accurate and active profile makes a strong first impression; an unclaimed, outdated or incomplete one loses customers quietly.

Google Business Profile is free, but getting the most from it takes care. The profile must be created and verified correctly, the right categories chosen, business information kept accurate, services and products described, photos added, reviews handled and the profile kept up to date. Google also has detailed guidelines about what is allowed. Breaking them, for example by adding keywords to the business name, using a virtual office address or creating duplicate listings, can lead to suspension, which can take time to resolve.

ViV Softech Solution is a website designing and digital marketing agency based in Delhi. We help businesses across India set up and optimise their Google Business Profiles within Google’s guidelines. This page focuses on creating, verifying and managing the profile itself. How your business appears in map results more broadly is covered on our Google Maps visibility optimization page. Below we explain who is eligible, the setup and verification process, the profile elements we optimise, how reviews and updates are handled, how to avoid suspensions, multi-location considerations and what affects cost. We cannot guarantee a particular position in local results, because Google decides rankings based on many factors.

What a Well-Managed Profile Delivers

Accurate Information

Correct name, address or service area, phone, hours and website, so customers can reach you without confusion.

Relevant Categories

A primary category and suitable additional categories that describe what you actually do.

Genuine Photos

Real images of your premises, team, work and products that build trust.

Services and Products

Clear lists and descriptions of what you offer, helping customers and relevance.

Review Engagement

A steady flow of genuine reviews and professional responses to them.

Measurable Actions

Performance data on calls, direction requests and website clicks.

Who Can Have a Profile

Eligible businesses

Google Business Profiles are for businesses that make in-person contact with customers during stated hours. That includes businesses with a storefront or office that customers visit, such as shops, clinics, restaurants and institutes, and service-area businesses that travel to customers, such as plumbers, electricians, pest control services, home tutors and cleaning services.

Service-area businesses

If you serve customers at their location and do not receive them at your address, you should hide your address and list the areas you serve instead. Showing a home address publicly is neither required nor recommended in this case.

Usually not eligible

  • Online-only businesses with no in-person customer contact.
  • Virtual offices, mailboxes or co-working addresses where the business is not genuinely staffed.
  • Rental or for-sale properties, ongoing classes or events at someone else’s venue.
  • Separate listings for each service or each practitioner where guidelines do not permit them.

Rules for specific situations, such as practitioners within a clinic or departments within a hospital or university, have their own guidance. We check your situation against Google’s current guidelines before creating anything.

Setup and Verification

We first check whether a profile for your business already exists, because Google sometimes creates listings automatically from public information, and earlier owners, employees or agencies may have created profiles. Duplicate listings cause confusion and can harm visibility, so existing profiles are claimed or merged rather than replaced with new ones. If a profile is owned by someone else, we guide you through requesting access.

New profiles must be verified to prove that you are the legitimate business owner. Google offers different verification methods depending on the business type, location and its own risk checks, which may include a video recording showing your premises, signage, equipment and proof of management, a phone call or SMS, email, or a postcard with a code. Video verification has become common and requires showing genuine evidence of the business at the location. We prepare you for the method Google requests, so the process goes smoothly. Verification can take from minutes to several days and sometimes requires additional evidence. Ownership should always remain with the business, with agencies added as managers, so you never lose control of your profile.

Profile Elements We Optimise

Business name

Your real-world business name as used on signage, stationery and branding, without added keywords, locations or taglines. Adding keywords is against guidelines and a common cause of suspension.

Categories

The primary category has a strong influence on which searches your profile can appear for. We research available categories and choose the most specific accurate primary category, plus relevant additional categories.

Address, service area and map pin

Accurate address formatting, correct pin placement and, for service-area businesses, realistic service areas.

Hours

Regular hours, special hours for festivals and holidays, and additional hours for specific services such as delivery where relevant.

Contact and website

A local phone number, the correct website link, ideally to the most relevant page such as a location page, and appointment or booking links where applicable.

Description

A clear, helpful description of what you do, who you serve and what makes you different, written for customers and without promotional claims you cannot support.

Services, products and attributes

Structured lists of services and products with descriptions and, where appropriate, prices, plus attributes such as accessibility features or payment options that genuinely apply.

Photos and videos

Logo, cover image, exterior and interior photos, team and work photos, all genuine and of good quality.

Reviews: Earning and Responding

Reviews influence both customer decisions and local visibility. We help you set up a simple, ethical process for asking satisfied customers for reviews, such as sharing your review link after a completed service, on receipts or through WhatsApp follow-ups. Google’s policies prohibit fake reviews, offering incentives such as discounts in exchange for reviews, selectively asking only happy customers in some ways, and posting reviews on behalf of customers. Violations can lead to reviews being removed and restrictions placed on the profile, and we never create or buy reviews.

Responding to reviews shows customers you are attentive. Thank positive reviewers personally, and respond to negative reviews calmly and professionally, acknowledging the concern and offering to resolve it offline, without sharing private details. Reviews that clearly violate Google’s policies, such as spam, hate speech or reviews about a different business, can be reported, though Google decides whether to remove them. More detailed help is available through our review generation strategy and review response support services.

Keeping the Profile Active

A profile is not a one-time setup. Information changes, customers suggest edits, Google updates features and competitors keep improving their profiles. Ongoing management includes updating hours for festivals and holidays, adding fresh photos of recent work, publishing posts about offers, events or news where useful, keeping service and product lists current, responding to reviews promptly, and monitoring for unwanted edits, because Google and members of the public can suggest changes to your information that are sometimes applied automatically. We check the profile regularly, correct inaccurate changes, and review the performance data Google provides, such as how many people called, requested directions or visited your website, so you can see how the profile contributes to your business. Features available in Business Profile change from time to time, and we adapt the management approach accordingly.

Avoiding Suspensions and Common Mistakes

  • Keyword stuffing the business name, such as adding best dentist in Delhi to the name.
  • Using ineligible addresses, such as virtual offices or addresses where you are not present.
  • Creating duplicate profiles for the same location or for each service.
  • Showing a home address as a storefront when customers do not visit.
  • Frequent or major edits to name, address or category in a short period, which can trigger re-verification.
  • Fake or incentivised reviews, or reviews posted by staff.
  • Inconsistent details between the profile, website and other directories.
  • Losing ownership because an employee or former agency controls the account.

If your profile has been suspended, we review the likely cause, correct issues and help prepare a reinstatement request with appropriate evidence. Reinstatement is at Google’s discretion and can take time.

Multi-Location Businesses

Businesses with several branches, such as clinic chains, coaching institutes, retail stores or showrooms, need one profile for each eligible location, managed consistently. Google offers bulk management and verification options for organisations with many locations. Each profile should use the same brand name format, link to its own location page on your website, have accurate local phone numbers and hours, and show photos of that specific branch. We set up structured access so that head office retains ownership while branch managers can respond to reviews or update information where appropriate. Consistent management across locations protects your brand and makes performance comparison easier. See also multi-location SEO.

Connecting the Profile With Your Website

Your profile and your website work together. Google uses your website to understand your business, and customers often visit it before contacting you. The name, address and phone number on your website should match the profile exactly. Your website should explain your services in detail, include a clear contact page with a map, and, for businesses with multiple locations, have a dedicated page for each one. LocalBusiness structured data can reinforce these details. Tracking parameters on the website link in your profile allow you to see in analytics how many visitors come from Google Business Profile and what they do on your site.
