Website Backups and Restoration

Automated, off-site backups that are actually tested, and a clear recovery plan, so a hack, failed update, hosting failure or accidental deletion never means losing your website.

Backups Are Your Last Line of Defence

Every website will eventually face something that goes wrong. A plugin update breaks the layout. Malware infects files. A staff member deletes important pages. A hosting server fails or an account is suspended. A developer makes a change that cannot easily be undone. In each case, the difference between a short inconvenience and a business disaster is whether a recent, complete and restorable backup exists.

Many website owners assume their host takes care of backups. Some hosts do, but often backups are kept only for a short time, stored on the same server as the website, charged separately for restoration or not taken at all on lower-cost plans. Others rely on a backup plugin that was set up once and never checked, only to discover during an emergency that backups have been failing for months or that they are stored in the same place the attacker had access to.

ViV Softech Solution is a website designing and digital marketing agency based in Delhi. We set up and manage backup systems and restore websites for businesses across India. This page explains what a proper backup covers, how often to back up, where backups should be stored, why testing matters, how we restore websites in different scenarios, backups for online stores, and what affects cost. We cannot guarantee that every lost item is recoverable, especially if no backup existed before we were involved, but with a sound backup system in place recovery becomes routine.

What a Proper Backup Includes

Database

Pages, posts, settings, users, orders, form entries and everything stored in the database.

Website Files

Themes, plugins, uploads, configuration files and any custom code.

Media Library

Images, documents and videos uploaded to the site, often the largest part of a backup.

Configuration Details

Records of server settings, PHP version, domain and DNS details needed to rebuild elsewhere.

Multiple Versions

A history of backups, so you can go back to a point before a problem started.

Verification

Checks that backups completed successfully and can actually be restored.

How Often Should You Back Up?

The right frequency depends on how often your website changes and how much data you could afford to lose. A useful question is: if the site failed right now, how much work would we lose since the last backup?

  • Brochure websites that rarely change: weekly backups, plus a backup before any update or edit session, are often sufficient.
  • Business websites with regular content and form entries: daily backups are a sensible baseline.
  • Online stores, booking sites and membership sites: orders, bookings and accounts change constantly. Daily backups are a minimum, and more frequent database backups, or real-time incremental backups, may be justified.
  • Before changes: regardless of schedule, always take a fresh backup before updates, migrations or significant edits.

Retention matters too. Keeping several weeks or months of backups allows recovery from problems that go unnoticed for a while, such as malware that was planted quietly.

Where Backups Should Be Stored

Off-site, not on the same server

A backup stored only on the website’s own server is lost if that server fails, the hosting account is suspended or an attacker gains access. Backups should be copied to separate, secure storage, such as reputable cloud storage.

More than one copy

A widely used principle is to keep multiple copies in different locations. For many websites, host backups plus independent off-site backups provide good resilience.

Secure access

Backup storage is protected with strong credentials and limited access, because backups contain your entire website, including user data.

Encryption and privacy

Backups may contain customer information. Encrypted storage and responsible retention periods help protect personal data in line with your privacy obligations.

A Backup You Have Not Tested Is Only a Hope

The most common backup failure is discovering, during an emergency, that backups are incomplete, corrupted, missing the database or impossible to restore because of size limits or missing settings. We prevent this by:

  • Monitoring backup jobs and alerting on failures
  • Checking that backups include both files and database
  • Periodically restoring a backup to a staging environment to confirm it works
  • Documenting the restoration steps for your specific hosting setup
  • Keeping restoration time realistic, so you know how long recovery will take

Restoration Scenarios We Handle

Failed update or broken change

We restore the most recent working version, or roll back only the affected component, then fix the cause on staging before reapplying changes.

Accidental deletion

Deleted pages, products or media can often be recovered selectively from a backup without overwriting newer changes elsewhere on the site.

Hacked or infected website

Restoring an old backup alone is not enough if the vulnerability that allowed the attack remains. We identify a clean backup from before the infection, restore it in a safe way, close the security gap and update everything. See malware cleanup and recovery.

Hosting failure or suspension

If your host has failed or your account is unavailable, we can restore the website to a new hosting environment and update DNS, using off-site backups.

No usable backup

If no backup exists, recovery is much harder. We may be able to recover parts of the site from the server, search engine caches or archive services, but results cannot be guaranteed. This is exactly why proactive backups matter.

Special Care for Online Stores

Restoring an e-commerce website is more delicate than restoring a brochure site. If you restore yesterday’s database, any orders, customers or stock changes made since then can be lost. For WooCommerce and similar stores we use more frequent database backups, plan restorations to preserve recent orders where possible, record orders taken during the incident window so they can be re-entered or reconciled, and coordinate with payment gateway records. We also consider enabling a maintenance mode during restoration to avoid new orders being lost in the process.

Our Setup Process

1. Review: current backups, hosting capabilities, site size and change frequency. 2. Plan: backup frequency, retention period, storage locations and recovery time expectations. 3. Setup: configure reliable backup tools, off-site storage and notifications. 4. First full backup: verified and stored securely. 5. Test restore: restore to staging to confirm the process works. 6. Documentation: recovery instructions specific to your website. 7. Ongoing monitoring: as part of a maintenance plan or periodic checks.

What Affects Cost

  • Website size: larger media libraries need more storage and transfer time.
  • Backup frequency and retention.
  • E-commerce or membership data requiring frequent database backups.
  • Storage and backup tool costs.
  • Restoration complexity: selective restores, malware cases or moving to new hosting.
  • Urgency: emergency restorations outside normal hours.

Frequently Asked Questions

Some do, but retention, storage location and restoration terms vary widely. Independent off-site backups add an important safety layer.

We agree a retention period with you, often several weeks or months, so older clean versions remain available.

Often yes. Selective restores can recover specific content without overwriting newer changes.

Restoring helps, but the security gap must also be fixed, or the site may be reinfected. We handle both.

It can if not planned carefully. We use frequent database backups and plan restorations to minimise order loss.

Sometimes partially, from server remnants or caches, but full recovery cannot be guaranteed without a backup.
