Sales Pipeline Setup

Turn your sales process into clear stages inside your CRM, so every opportunity has an owner, a next step and a place in the forecast.

A CRM Without a Pipeline Is Just a Contact List

Many businesses install a CRM and use it to store names and phone numbers. The sales conversations still live in WhatsApp chats, personal notes and memory. When the owner asks how many deals are likely to close this month, nobody can answer without a round of calls. The missing piece is the pipeline: a shared map of how a lead becomes a customer and where each opportunity stands.

Sales pipeline setup builds that map inside your CRM. It defines the stages an opportunity passes through, what must be true to move it forward, what information is recorded, who is responsible and what happens when a deal stalls. ViV Softech Solution, a website designing and digital marketing agency in Delhi, configures pipelines within our CRM implementation services, working with HubSpot, Zoho, Salesforce, Pipedrive, Freshsales and similar tools.

The pipeline is one part of a CRM rollout. Moving existing records is covered in data import and migration, and pushing enquiries from your site is covered by website-to-CRM integration.

What Pipeline Setup Covers

Stage Design

Stages that mirror how your buyers decide.

Entry and Exit Rules

Clear criteria for moving a deal forward.

Deal Fields

Value, source, close date and loss reason.

Tasks and Reminders

Next steps created automatically.

Views and Dashboards

Board, list and forecast views for each role.

Permissions

Who sees and edits which deals.

Fewer Stages, Clearer Rules

The most common pipeline mistake is too many vague stages, so deals sit in “follow up” for months. We prefer five to seven stages, each defined by something the buyer has done or agreed, not by how the salesperson feels.

We also design for your actual process. A service business with proposals needs different stages from a store with walk-in leads or a B2B firm with demos and trials.

How We Set Up a Sales Pipeline

We start by understanding how you sell today. We talk to the people who sell, and review recent won and lost deals: where did the lead come from, how long did each step take, what information was needed, and why did the lost ones go cold? We draw the real process, not the ideal one. We then define the stages. A typical service pipeline might run from new lead to contacted, qualified, proposal sent, negotiation, won and lost, but we adapt it. For each stage we write the exit criteria, for example “qualified” means budget range, need and decision maker are known, and “proposal sent” means a written quote has been delivered. We decide how many pipelines are needed. Different products, regions or customer types sometimes justify separate pipelines, but each adds complexity, so we only recommend it where processes truly differ. Next, we configure the CRM. We create the stages, set probability percentages as starting estimates, and add deal properties: expected value, source, product or service, close date, competitors, decision maker and loss reason. We keep required fields to the minimum that supports good decisions, because forms that ask too much are not filled. We create automations that save time: assign new leads by rule, create a follow-up task when a deal enters a stage, send internal alerts when a deal has no activity for a set time, and notify managers of large deals. Where leads come from forms, ads or chat, we connect them as in CRM to WhatsApp integration and the site integrations on our integration pages. We build views and dashboards: a board for daily work, a list for follow-ups, and reports for pipeline value by stage, conversion rates between stages, average sales cycle, win rate by source and activity levels. Forecasts use stage probabilities with a clear warning that they are estimates until real conversion data builds up. We set permissions and clean field options so reports remain accurate. We then test with sample deals through every stage, train the team in short sessions focused on daily habits, and review after a month to simplify or adjust stages based on real use. We cannot promise that a pipeline will raise sales on its own, since selling skill, pricing and lead quality drive results, but visibility and consistent follow-up remove many common losses.

Problems a Pipeline Helps Solve

Forgotten leads

No reminder for the next step.

Unreliable forecasts

No agreed stage definitions.

Stuck deals

Opportunities sitting for months.

Unknown loss reasons

No data on why deals fail.

Owner dependence

Knowledge held by one person.

Source blindness

No view of which channels close.

Who It Suits

Teams of two or more people selling, agencies, consultants, real estate, education, B2B and service companies with a proposal or quote stage.

Businesses that have a CRM but use it as an address book, or that are about to adopt one and want it designed well from the start. See CRM automation.
