Data Import and Migration

Move your contacts, companies and deals from spreadsheets or an old system into your new CRM, cleaned, mapped and checked, so you start with data you can trust.

A New CRM Is Only as Good as the Data You Put In

Most businesses do not start with an empty CRM. They have contacts in Excel files, phone numbers in old billing software, emails in Gmail, enquiries in WhatsApp and leads in a previous CRM. Uploading all of it as it stands moves the mess into a more expensive place: duplicates, missing fields, inconsistent names, wrong phone formats and contacts attached to the wrong company.

Data import and migration is the careful process of preparing and moving that data. It includes auditing sources, deciding what to keep, cleaning, mapping fields, testing with a sample, importing in the right order and checking the result. ViV Softech Solution, a website designing and digital marketing agency in Delhi, handles this within our CRM implementation services for HubSpot, Zoho, Salesforce, Pipedrive, Freshsales and other tools.

Migration pairs naturally with sales pipeline setup, since deal data needs somewhere to land, and with CRM setup for the basics.

What Migration Covers

Data Audit

What exists, where and in what condition.

Cleaning

Duplicates, formats, blanks and old records.

Field Mapping

Source columns matched to CRM fields.

Relationships

Contacts linked to companies and deals.

Test Import

A small trial before the full load.

Backups

Originals preserved and changes recorded.

Not Everything Should Be Migrated

Old data has a cost: it clutters reports and may create legal exposure. We help you decide what to bring, what to archive and what to drop, such as contacts with no activity for years, invalid emails and obvious test records.

Consent matters too. Contacts can only be emailed if you have a lawful basis. We flag records with unknown consent and do not turn them into a marketing list without your decision.

How We Migrate Your Data

We begin by listing every source: spreadsheets, an old CRM, accounting or billing exports, email contacts, form submissions, ad lead forms and chat tools. For each we note volume, fields, quality and owner. We take a copy of everything before touching it. Next we design the target structure with you. What objects does the new CRM need: contacts, companies, deals, tickets, products, notes and activities? Which custom fields do you need? Which fields from old files are useful and which are noise? We write a field map showing each source column, its destination, the data type and any transformation needed, such as splitting a full name into first and last, standardising phone numbers to include country codes, normalising state and city names, or converting date formats. We then clean the data. We remove exact duplicates and flag likely ones for a decision, standardise capitalisation and formats, fix obviously broken emails, separate multiple values packed in one cell, and identify records missing key fields. We pay attention to relationships: matching contacts to companies using domain or name, and linking deals to the right contacts. Where the source data lacks a stable identifier, we create one so repeated imports do not create new duplicates. Before the full load, we run a test import with a representative sample of a few hundred records, then check how fields, owners, dates, tags and associations appear. We fix mapping issues and repeat if needed. For the main import, we load in a sensible order, usually companies, then contacts, then deals and activities, using the CRM’s import tools or API, depending on volume and complexity. For migrations from an older CRM, we also consider notes, attachments, email history and custom objects, and tell you honestly which can be transferred and which cannot. After the load we verify: record counts against the source, spot checks of random records, key reports compared with the old system, and a review with the sales team. We keep a log of rejected rows and fix or explain them. We set duplicate-prevention rules in the CRM for future entries, and connect ongoing sources such as website forms and Google Sheets automation. Finally, we agree a cut-over plan: a freeze date for the old system, how new records are handled in between and when the old system is archived. We cannot recover data that was never stored, or guarantee that every old record is perfect, but we make the move traceable and reversible where possible.

Common Data Problems

Duplicate contacts

Same person under several spellings.

Mixed formats

Phone numbers and dates in many styles.

Missing links

Contacts not tied to companies.

Old records

Years of inactive or invalid entries.

Packed cells

Several values in one spreadsheet cell.

Unknown consent

No record of permission to email.

We resolve these before the main import.

Sources We Handle

Excel and Google Sheets files, CSV exports, previous CRMs, accounting and billing exports, email platform lists and form tool exports.

Lead data from ad platforms; see Meta lead form integrations for live connections rather than one-off exports.
