Business Email Configuration

Professional email addresses on your own domain, set up correctly and securely so messages are delivered, devices sync and your team can work without interruptions.

Why Business Email Matters

An email address like name@yourcompany.com tells customers, suppliers and partners that they are dealing with an established business. Free addresses from public email services can look less professional on quotations, invoices and tenders, are easier to impersonate, and leave important business communication tied to personal accounts that the company does not control. When an employee leaves, their emails, contacts and conversations may leave with them. Business email on your own domain solves these problems: addresses reflect your brand, accounts belong to the company, and access can be managed centrally.

Setting up business email properly involves more than creating mailboxes. The domain’s DNS records must point to the right email provider; authentication records must be configured so messages are trusted and not marked as spam; users, aliases and shared mailboxes need to be organised; phones, laptops and email apps must be connected; existing emails may need to be migrated from old accounts; and security settings such as two-step verification should be enabled. Mistakes can cause lost emails, failed delivery, spam problems or even disruption to your website if DNS records are changed incorrectly.

ViV Softech Solution is a website designing and digital marketing agency in Delhi, and we configure business email for companies across India as part of our email platform setup services. This page covers everyday business email for your team. Bulk email marketing platforms are covered separately by our email marketing platform setup, and domain registration and DNS management by our domain services.

Choosing the Right Email Provider

Google Workspace

Gmail-based business email with Google Drive, Calendar, Meet and collaboration tools. Familiar to many users and strong on browser and mobile use.

Microsoft 365

Outlook-based business email with Microsoft Office apps, OneDrive and Teams. A natural fit for organisations working heavily with Word, Excel and Outlook.

Hosting-based email

Email included with some web hosting plans. Can suit very small teams with simple needs, but usually offers less storage, fewer features and weaker deliverability tools.

We recommend a provider based on your team size, the tools you already use, collaboration needs, storage requirements, budget and administration preferences. Subscriptions are purchased in your company’s name, so you retain ownership and billing control; providers set their own plans and prices, which change over time, so we always check current options.

DNS and Authentication Done Correctly

Business email relies on records in your domain’s DNS settings. The MX records tell other mail servers where to deliver your email; verification records prove to the provider that you own the domain; and authentication records help receiving servers trust your messages. SPF lists the servers allowed to send email for your domain, DKIM adds a digital signature to outgoing messages, and DMARC tells receiving servers how to handle messages that fail these checks and can send reports about them. Without proper authentication, legitimate emails are more likely to land in spam, and criminals can more easily send fake emails that appear to come from your domain. Major mailbox providers have also tightened requirements for senders, making authentication increasingly important. Changing DNS records carries risk: an error can interrupt email delivery or, if website records are touched accidentally, take your website offline. We review existing records before making changes, note values so they can be restored if needed, plan the switch for a low-impact time, and verify that records are correct afterwards using diagnostic tools. If your domain also sends email through other services, such as a website contact form, CRM, invoicing software or email marketing platform, we include them in the SPF and DKIM setup so those messages keep working. Detailed authentication setup for marketing senders is also covered by our domain authentication service.

Organising Mailboxes for Your Team

We help plan a sensible address structure: a consistent naming format for staff, such as firstname@ or firstname.lastname@, plus role-based addresses like sales@, accounts@, support@ and careers@ that can be routed to the right people. Aliases let one person receive mail at multiple addresses without paying for extra mailboxes, and groups or shared mailboxes let teams handle common inboxes together, so enquiries are not lost when someone is on leave.

We also set up email signatures in a consistent branded format, configure out-of-office and forwarding rules where needed, and organise admin access so that at least two trusted people in your company can manage accounts. When employees join or leave, a clear process ensures accounts are created, transferred or suspended properly, protecting company data and continuity. We provide a short guide for these routine admin tasks.

Migrating Existing Email

If your team already uses email, whether free accounts, old hosting mailboxes or another business provider, existing emails, contacts and calendars can often be moved to the new system using provider migration tools or IMAP-based transfers. We assess what can be migrated, the volume involved and any limitations, such as very large mailboxes or older systems with restricted access.

Migrations are planned to minimise disruption: new mailboxes are prepared in advance, the DNS switch is timed carefully, and a final sync captures any messages received during the changeover. We recommend keeping old accounts accessible for a short period after migration as a safety net, and backing up important mailboxes before starting. Some items, such as certain rules or app-specific settings, may need to be recreated manually.

Devices and Security

Phones and Laptops

Accounts added to official apps, Outlook or other clients with correct settings.

Two-Step Verification

Extra login protection for every user and especially admins.

Phishing Awareness

Simple guidance to help staff spot fraudulent emails.

Email accounts are a frequent target for fraud, including fake invoices and requests to change bank details. Enabling two-step verification, using strong unique passwords, limiting admin rights and enabling the provider’s built-in spam and malware protection reduce these risks significantly. We configure these settings and give your team practical advice. See website security services.

Ongoing Support

After setup, business email usually runs smoothly, but needs occasional attention: adding and removing users as staff change, resetting passwords, adjusting aliases and groups, troubleshooting delivery problems, updating DNS when you add new sending services, renewing subscriptions and keeping security settings current. Domain renewal deserves special attention, because if your domain expires, both email and website stop working; we recommend auto-renewal and accurate contact details with your domain registrar. We can provide ongoing support for these tasks, or document everything clearly so your own team can manage them. Documentation typically includes the provider and subscription details, admin accounts, DNS records and their purpose, mailbox structure, and step-by-step instructions for common tasks. For businesses that also send marketing emails or automated messages from their website, CRM or online store, we can review how those services are configured so they do not interfere with everyday email deliverability, and recommend using a separate sending domain or subdomain for bulk marketing where appropriate. Clear ownership and documentation mean you are never dependent on a single person or provider to access your company’s email.
