Calendar and Booking Integrations

Connect Google Calendar, Outlook, booking tools, your CRM and video meetings so every appointment appears everywhere without double entry or conflicts.

Three Calendars, One Missed Meeting

A booking arrives on the website, someone copies it to a shared sheet, another person adds it to their Google Calendar, and the CRM never hears about it. A week later two customers are booked for the same hour, or a meeting happens without a link. The root problem is systems that do not talk to each other.

Calendar and booking integrations connect your scheduling tools, calendars, CRM and meeting platforms so that data moves automatically in the right direction. ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds these within our business integrations services.

This is the connection layer between tools you already use. To build the booking process itself, see appointment scheduling automation; for a custom-built booking application, see appointment management systems.

What We Connect

Google Calendar

Two-way sync for staff and shared calendars.

Outlook and Microsoft 365

Calendars, Teams links and availability.

Booking Tools

Calendly, Zoho Bookings, plugins and similar tools.

CRM Records

Meetings logged against contacts and deals.

Video Meetings

Google Meet, Zoom or Teams links added automatically.

Notifications

Email, WhatsApp or chat alerts to the team.

Permissions and Privacy

Calendars hold private details. We connect with the least access needed, show only busy and free times where appropriate, and never expose event contents to the public.

We use accounts you control and ask staff to authorise their own calendars. When someone leaves, access is removed in one step.

How We Build Calendar and Booking Integrations

We start by mapping your current appointment flow and tools. Where do bookings start: a website form, a booking page, a phone call, WhatsApp, a CRM? Where must they end up: staff calendars, a team calendar, the CRM, invoices, reminders? Which tools hold the truth about availability? We list each tool, plan or licence, and check whether it offers integrations, an API or compatible automation connectors. We also look for conflicts, such as staff keeping personal calendars separately or different time zones. Next we design the data flow. Typically one system is the source of truth for availability, usually a main calendar, and booking tools read from it so they never offer a taken slot. When a booking is made, the event is created on the right staff calendar with details, location or meeting link and a reminder. The booking also creates or updates a CRM contact, logs an activity and moves a deal to the right stage. When a booking changes or is cancelled, the same changes apply everywhere. We decide which fields travel in which direction, to avoid loops where two systems overwrite each other. We set up the connections using native integrations where they are reliable and workflow tools such as Zapier, Make or custom scripts where needed. For Google Workspace we may use Calendar APIs or Apps Script; for Microsoft 365, Graph-based connectors. We handle time zones carefully, setting a clear default and showing local times to customers abroad. We configure video meeting creation, so each booking has a unique link included in confirmations and calendar entries. We add rules for resources, for example meeting rooms or equipment, so they are blocked as well as people. We also include error handling: if a connection fails, the team is alerted and bookings are logged for manual review, so none disappear. We test with realistic scenarios, including reschedules, cancellations, overlapping events, all-day events, daylight-saving differences and different calendar apps on phones. We document how everything is connected and how to reconnect if a password or permission changes. After launch, we monitor for sync issues for a few weeks. We cannot guarantee that third-party services will never change or fail, and some integrations depend on plan levels you may need to upgrade, but a clear design with monitoring greatly reduces missed or conflicting bookings. For reminders after booking, see appointment reminders.
