Order and Service Notifications

Automatic WhatsApp updates for orders, deliveries, payments and service jobs, sent from your store or CRM so customers always know what is happening.

Customers Want Updates Without Asking

“Where is my order?” and “Has the technician left?” are among the most common messages businesses receive. Each one is a sign that the customer was left in the dark. Proactive updates answer the question before it is asked and reduce support load.

Order and service notifications are automatic WhatsApp messages triggered by events in your system: an order placed, packed, shipped or delivered; a payment received or due; a service booked, technician on the way, job completed. ViV Softech Solution, a website designing and digital marketing agency in Delhi, sets them up within our customer messaging services.

They run on the WhatsApp Business Platform using approved templates, and connect to your store or CRM through API integration with websites and CRMs. Customers can ask questions in reply; see customer support automation.

Useful Messages, Not Hidden Ads

Transactional messages should stay transactional. Mixing offers into an order update can get a template recategorised and annoys customers. We keep notifications clean and separate promotions.

We also send only to customers who gave their number for the order and agreed to receive updates by WhatsApp, and we show how to switch updates off.

How We Set Up Order and Service Notifications

We begin by mapping the order or service lifecycle and the moments when customers want information. For a store, this is usually order placed, payment confirmed, packed, shipped, out for delivery, delivered, and return requested. For a service business, it might be booked, technician assigned, technician on the way, work completed and invoice sent. We check which of these your systems can detect. Online stores on WooCommerce, Shopify or custom platforms usually provide order status events; service businesses may use a CRM, job management tool or even a sheet. Where events do not exist, we help add status updates inside the system. Then we decide which events deserve a WhatsApp message. Too many notifications are as bad as too few, so we choose the three to six that matter most. For each, we write a short template with variables such as name, order number, amount, date, courier and tracking link, following WhatsApp’s requirements; see approved template message setup. We make wording clear and calm, and include a contact option or a button for common actions such as tracking or rescheduling. We connect your system to the WhatsApp Business Platform. This can be done through a plugin, an automation tool, or custom code listening to webhooks. We map data fields from the order or job into the template variables and set conditions, for example only send the out-for-delivery message to orders using your own delivery team. We handle failures, so if a number is invalid or a message cannot be delivered, a fallback such as SMS or email can be used, and your team can be alerted. We also set up opt-in at checkout or booking, store the preference and respect opt-outs. We test each step with real orders and jobs, checking timing, content and the display on different phones. After launch we measure delivery rates, how many support queries fall, and any customer complaints. We cannot guarantee a particular drop in support messages, but timely updates generally reduce basic status questions. If customers reply to a notification, the reply goes to your inbox or bot rather than being lost; see customer support workflows. Message fees are charged under Meta’s current pricing and your provider’s rates, and we explain these at quoting time. For appointment-related messages specifically, see appointment reminders.
