Call Tracking Integration

Connect phone enquiries to the campaigns, keywords and pages that produced them, and feed call outcomes into Google Ads, analytics and your CRM.

The Enquiries Your Reports Are Missing

For many Indian businesses, phone calls are the most important source of enquiries. Clinics, home service providers, real estate developers, coaching institutes, travel agencies, repair services, legal and financial professionals and many others receive a large share of new customers by phone. Yet calls are often invisible in marketing reports. A Google Ads account might show a handful of form submissions while the phone rings regularly with people who found you through the same ads. Without call tracking, those campaigns look less effective than they are, budgets may be cut from channels that actually work, and automated bidding has no data about the calls it helped generate.

Call tracking connects phone calls to their marketing source. At its simplest, it records clicks on phone numbers in ads and on your website. More complete setups use tracking phone numbers to record actual calls, their duration and their source, down to the campaign, keyword or landing page. Integrations then pass this information into Google Ads as conversions, into Google Analytics 4 alongside other events, and into your CRM alongside the lead record, where call outcomes can be recorded and fed back for optimisation.

ViV Softech Solution is a website designing and digital marketing agency in Delhi. We set up and integrate call tracking for businesses across India. This page focuses on tracking technology and integrations. Designing the call experience on landing pages is covered on our call and WhatsApp conversion pathways page, and call-focused Google Ads campaigns on call-focused advertising.

What Our Call Tracking Integration Covers

Requirements

Deciding how detailed tracking needs to be for your business.

Google Call Conversions

Calls from ads and website calls through Google forwarding numbers, where available.

Dynamic Number Insertion

Different numbers shown by source to attribute calls accurately.

Platform Integrations

Calls sent to Google Ads, GA4, Meta and other platforms.

CRM Connection

Call records and outcomes stored with lead details.

Call Quality Rules

Separating genuine enquiries from short, missed or irrelevant calls.

Levels of Call Tracking

Click tracking

Recording taps on phone links in ads and on your website as events. Free and simple, but a tap does not confirm a call happened or lasted.

Google call conversions

Google Ads can track calls from call assets and call ads, and calls from your website using Google forwarding numbers where available, with a minimum duration you set.

Third-party call tracking

Dedicated providers assign tracking numbers by source, record call details and integrate with multiple platforms and CRMs.

The right level depends on how important calls are to your business, how many channels drive them, your budget for tools and your need for detail. Many businesses start with click tracking and Google call conversions, then add a provider if calls are a major source of revenue across several channels. Availability of Google forwarding numbers and some provider features varies by country, so we confirm current options for India.

How Dynamic Number Insertion Works

Dynamic number insertion, often called DNI, uses a small script on your website to replace your displayed phone number with a tracking number based on how the visitor arrived. A visitor from Google Ads might see one number, a visitor from Facebook another, and an organic visitor a third. More advanced setups assign numbers from a pool to individual sessions, so each call can be linked to the specific campaign, keyword and pages viewed during that visit. When someone calls a tracking number, the call is forwarded to your real business line, usually without the caller noticing any difference, and details such as time, duration, caller number and source are recorded. For DNI to work well, the number pool must be large enough for your traffic, the script must load reliably without slowing the page, and the main business number should remain consistent in places where it matters for local search, such as your Google Business Profile and structured data, so search engines see consistent contact information. Static tracking numbers can also be used offline, for example in print, radio or hoardings, to measure those channels. See business NAP consistency.

Integrating Calls With Your Platforms

Call data is most useful when it flows into the systems where decisions are made. For Google Ads, qualified calls can be recorded as conversions, either through native call conversion tracking or by importing calls from a provider with the associated click identifier, so smart bidding learns which keywords and ads produce valuable calls. For Google Analytics 4, calls can be sent as events with source information, so phone enquiries appear alongside form submissions in reports.

For Meta and other platforms, offline events or conversions APIs can receive call conversions where supported. For your CRM, integrations can create or update a lead record with the call details, source and recording link, so your sales team sees the full context. Where possible, we avoid counting the same call twice across platforms as primary conversions, and we document which system is the source of truth. See Google Analytics 4 setup.

Defining a Qualified Call

Minimum Duration

Counting calls above a sensible length, filtering out hang-ups and wrong numbers.

First-Time Callers

Distinguishing new prospects from existing customers calling for support.

Outcome Tags

Staff tagging calls as booked, quoted, not relevant or spam.

Not every call is a lead. Duration thresholds, repeat caller rules and outcome tagging help ensure that conversions sent to advertising platforms represent genuine enquiries, so bidding is not trained on wrong numbers, sales calls or existing customers.

Missed Calls and Response

Call tracking often reveals an uncomfortable truth: a significant share of calls from advertising go unanswered, especially at busy times, lunch breaks, evenings and weekends. Each missed call from a paid campaign is money spent on a lead that may call a competitor next. Call tracking systems can report missed calls by time and source, send instant missed call alerts by SMS, email or messaging, and in some cases route calls to backup numbers or teams when the first line is busy. We use this data to recommend practical improvements, such as adjusting ad schedules to staffed hours, adding call routing, setting up callback processes, or offering WhatsApp and callback forms when lines are busy. Fixing missed calls is often one of the fastest ways to improve campaign results without spending more.

Privacy, Recording and Compliance

Call tracking collects caller phone numbers and, if enabled, call recordings, which are personal data. Callers should be informed where calls are recorded, usually through a short message at the start of the call, and your privacy policy should explain how call data is used and stored. Recordings should be stored securely, accessed only by people who need them and deleted after a defined period. Caller numbers should not be used for marketing messages without appropriate consent, and telecom rules on commercial communications apply. India’s Digital Personal Data Protection Act and its rules, as they come into force, set obligations around notice, purpose and retention. Tracking numbers should come from licensed providers and comply with local telecom regulations. We help configure these settings responsibly and recommend legal advice on specific obligations, particularly in sensitive sectors such as healthcare and finance.
