Google Sheets Automation

Connect your forms, CRM, WhatsApp, email and store to Google Sheets, and let reports, reminders and data entry run themselves instead of eating your team’s day.

The Spreadsheet Is Often the Real System

In many Indian small and mid-sized businesses, the most important tool is not a CRM or an ERP but a Google Sheet. Leads are noted in one sheet, orders in another, stock in a third, daily reports in a fourth. It works because Sheets is familiar, shareable and free. The trouble starts when the same information must be typed in several places, copied from WhatsApp messages, pasted from emails or updated by hand every evening. Mistakes creep in, columns get overwritten, and someone spends an hour each day moving data from one place to another.

Google Sheets automation removes that manual work. Form responses, enquiries, orders and messages flow into sheets automatically. Formulas, scripts and scheduled actions clean the data, calculate totals, flag problems and send summaries. Sheets can also trigger things: a new row can create a CRM contact, send a WhatsApp message, email a quote, or alert a manager. Your team keeps using the spreadsheet they know, but without the repetitive typing.

ViV Softech Solution is a website designing and digital marketing agency in Delhi, and we build Google Sheets automation as part of our business integrations services. For broader tool-to-tool connections without code, see no-code and low-code automation, and for linking your website and CRM see website to CRM integration.

What We Automate in Sheets

Form and Lead Capture

Website, Google Forms and ad leads land in a sheet.

Two-Way Sync

Keep Sheets and your CRM or store in step.

Automated Reports

Daily and weekly summaries sent by email or chat.

Alerts and Reminders

Overdue follow-ups, low stock and unpaid invoices.

Data Clean-Up

Remove duplicates, fix formats and validate entries.

Live Dashboards

Charts and summaries that update themselves.

Tools We Use

Different jobs call for different tools. Built-in formulas such as QUERY, ARRAYFORMULA, IMPORTRANGE and data validation handle many tasks with no code. Google Apps Script handles custom logic, scheduled jobs and email or document generation. Connection tools such as Zapier, Make and n8n link Sheets to hundreds of other apps without writing code.

We choose the simplest option that is dependable. A formula is better than a script if it does the job, and a script is better than a paid connector if the volume is low. This keeps running costs down and makes the system easier for your team to understand.

How We Plan and Build Sheet Automation

We start by watching how your sheets are really used. Who enters data, from where, how often, who reads it, and which tasks make people groan. A short walkthrough usually shows where hours are being lost. We write down the desired flow in plain language, for example: when a new enquiry arrives from the website form, add it to the Leads sheet, tag it by source, assign it to a salesperson in rotation, send a WhatsApp acknowledgement, and create a follow-up reminder for tomorrow. Before automating anything, we tidy the sheet structure, because automation breaks on messy data. We separate raw data from reports, fix column headings, set consistent date and phone formats, add drop-down lists and validation to prevent typos, and protect formula ranges so they are not overwritten by accident. We then build the connections. Forms and ad leads can send data directly; WhatsApp and email messages can be logged; CRM and store events can be synced both ways. Apps Script handles logic that formulas cannot, such as sending a formatted summary every morning, generating PDF quotes from a template or moving completed rows to an archive tab. Every automation includes error handling and a log, so failures are noticed rather than silently dropping data. We pay special attention to access and security. Sheets that hold customer data should be shared only with the people who need them, and service accounts or API keys must be stored properly, not pasted into cells. We also consider limits: Sheets can slow down with very large datasets and has quotas on scripts and API calls, so we advise when a database or a proper CRM would serve you better. Before handover we test with real and edge-case data, including duplicate entries, blank fields and unexpected formats. We document what each automation does, where it runs and how to turn it off, and we train your team to maintain it. We do not promise unlimited scale from a spreadsheet; we aim for dependable automation at the size you operate today.

Examples of Useful Automations

Lead tracker

Auto-fill, assign and remind.

Order log

Store orders land in a sheet with status updates.

Daily sales summary

Totals emailed every evening.

Attendance and tasks

Staff entries rolled into weekly reports.

Invoice reminders

Overdue payments flagged and messaged.

Document creation

Quotes and letters generated from rows.

For heavier document handling, see document processing automation.

When to Move Beyond Sheets

Sheets is excellent until it is not. Signs you may need more include many people editing the same rows, complex permissions, tens of thousands of rows, strict audit trails or heavy reporting. In those cases we may suggest a CRM, a database-backed internal tool or a custom application.

See CRM implementation or API-based workflow integration for the next step, and analytics and conversion optimization for turning data into decisions.
