Inventory Integration

Keep stock numbers correct across your website, marketplaces and billing software, so customers never order what you cannot ship.

One Stock Number, Everywhere

When a product sells on your website, in a shop, on Amazon and on Flipkart, there should still be only one true stock figure. In many small businesses there are four, kept in different places and updated by hand. The result is predictable: an item sells online that was sold in the shop an hour ago, the customer is told it is out of stock after paying, a refund follows, and a review suffers.

Inventory integration connects the systems that hold stock so a sale or a purchase in one place updates the others. It may link your online store to billing software, an ERP, a warehouse sheet or marketplace accounts. ViV Softech Solution, a website designing and digital marketing agency in Delhi, plans and sets up these connections as part of our store setup and management services.

This page covers stock synchronisation itself. Loading products is covered under product uploads and catalogue management, and platform configuration under WooCommerce store configuration and Shopify store configuration.

What Inventory Integration Covers

Stock Sync

Quantities updated after sales, returns and purchases.

SKU Mapping

Matching product codes across every system.

Multi-Channel Stock

Website, marketplaces and offline sales together.

Low-Stock Alerts

Warnings before an item runs out.

Warehouse Locations

Stock by location where you have more than one.

Reconciliation

Reports that catch mismatches early.

Integration Is Not Always the Answer

A store with a few dozen products and a single sales channel may not need software connections at all; a disciplined stock sheet can be enough. We recommend integration when the cost of errors, such as overselling, refunds and lost time, is higher than the cost of building and maintaining the connection.

The right design also depends on which system is the master. Usually it is the billing or ERP system, with the website and marketplaces following it. Choosing the master early avoids two systems overwriting each other.

How We Set Up Inventory Integration

We begin by mapping how stock moves today: where it is received, where it is counted, which systems record sales, who edits quantities and how often. We list every sales channel and every tool that stores a quantity. We also note special cases such as bundles, variants (size and colour), made-to-order items, pre-orders, backorders and items sold in sets or by weight. Next we choose the master system and the direction of data flow. In the common pattern, purchases and adjustments are entered in billing or ERP software, which sends stock to the website and marketplaces, while online orders flow back into the same system so the count is reduced once. We check which connection options your software supports: built-in plugins, official integrations, spreadsheet-based sync, or an API connection built for your case. Where an official integration exists, we usually prefer it for maintainability; where it does not, we design a lightweight connector and document it. See API-based workflow integration for the approach. Product identity comes next. Every product and variant needs a unique, consistent SKU across systems, and we clean duplicates and blanks before syncing, because a mapping error turns into a stock error. We set rules for timing and conflicts: real-time or scheduled updates, safety buffers on marketplaces so the last unit is not sold twice, what happens on cancellations and returns, and how negative stock is handled. We build and test on a copy of the store with sample products, running scenarios such as a sale on the website, a sale in the shop, a return, a purchase receipt, and a manual correction, and compare results in every system. After a staged launch, we monitor for mismatches and set up an alert if a sync fails, since silent failures are the main risk. We train your team on how to adjust stock correctly and on what not to touch. We cannot promise that stock will never be wrong, since human error such as miscounts, damaged goods and unrecorded sales will always exist, but integration removes duplicate manual entry and the delays that cause most overselling.

Typical Setups

Billing software to website

Stock and prices flow to WooCommerce or Shopify.

Website to marketplaces

One count shared with Amazon and Flipkart listings.

Sheet-based sync

A controlled spreadsheet as the master for small catalogues.

Warehouse or 3PL

Stock updates from a fulfilment partner.

POS to online

In-store sales reduce online availability.

Supplier feeds

Availability imported from supplier files.

Which setup fits depends on your tools; we do not assume a particular software.

Works With the Rest of Your Store

Correct stock supports other store work: order management workflows use it to confirm orders, and marketplace catalogue preparation depends on clean SKUs.

Accurate availability also improves ads. Feeds with wrong stock waste spend, as explained in product feed optimization.
