Application Maintenance

Keep your integrations, custom tools and connected business software working as vendors change their systems, with monitoring, fixes and updates handled for you.

Software Breaks Quietly

Connected business software rarely fails with a loud crash. An API changes, a token expires, a vendor retires a feature, a plugin updates and a field is renamed, and quietly orders stop reaching accounting, leads stop appearing in the CRM or a dashboard shows last week’s numbers. Often nobody notices until a customer complains or the month-end totals do not match.

Application maintenance is the continuing care that prevents this. It includes monitoring so failures are noticed quickly, regular updates and security patches, fixes when connected systems change, backups and recovery plans, and small improvements as your needs shift. ViV Softech Solution, a website designing and digital marketing agency in Delhi, provides this for custom tools and integrations within our software integrations services.

This page covers integrated systems and business applications. For mobile apps specifically see app maintenance and updates, and for WordPress sites see WordPress updates and maintenance.

What Maintenance Covers

Health Monitoring

Checks that data flows and jobs run.

Connector Fixes

API, token and permission issues resolved.

Updates and Patches

Libraries, servers and dependencies kept current.

Backups

Regular copies and tested restores.

Support Desk

A route to report problems and get answers.

Small Improvements

Minor changes as your process evolves.

Maintenance Is Not Free Development

We separate maintenance from new features. Maintenance keeps what exists working; new modules, major redesigns and new integrations are scoped and quoted as projects. This keeps expectations clear and prevents a support plan from being quietly consumed by feature requests.

We also set honest limits. Some failures originate with a vendor outage or a plan change we do not control. We tell you what happened, what we did and what you may need to decide.

How We Run Application Maintenance

We begin with an inventory. We list each application and integration: what it does, who built it, where it is hosted, what it connects to, who owns the accounts and what data it moves. For systems we did not build, we review code, documentation and access, and we record unknowns openly. We identify single points of failure, such as credentials held by one person, expired certificates or tools running on unsupported versions. We then classify each system by importance. An order sync that feeds invoicing needs fast response; a monthly report script does not. This guides monitoring and response times in the support agreement. Monitoring comes next. For each critical flow we set checks: scheduled jobs complete, queues empty, records appear in the destination, error logs stay clean and key totals match between systems. Alerts go to us and, if you prefer, to a named person on your side. We also monitor uptime, SSL expiry and server health where we manage hosting. We agree a routine. Monthly or quarterly we review logs, apply security and dependency updates in a test copy first where possible, run regression checks on key functions, and then deploy with a rollback plan. We keep backups of databases and files, store them separately, and test restoration so we know it works. When a connected vendor announces changes, such as API deprecations or new authentication rules, we plan updates ahead of time instead of reacting to breakage; this is common with CRM, payment, messaging and ad platforms. When an issue is reported, we triage it by impact, reproduce it, find the cause, fix and test it, then document what happened and how to avoid it. For repeated issues we recommend a permanent fix. We keep a change log and update technical documentation so that knowledge is not locked in one person’s head. We also advise on security: least-privilege access, strong authentication, removal of unused accounts and periodic review. If you outgrow a tool or it becomes risky to maintain, we say so and propose a migration plan; see third-party API integration and CRM and ERP integrations for how replacements are built. Reports summarise issues handled, updates applied, risks and recommendations. We cannot guarantee that no failures will occur, since vendors and the internet change, but monitoring and routine care shorten outages and prevent small faults from becoming costly ones.

Common Causes of Failure

Expired credentials

Tokens, keys and certificates lapsing.

API changes

Vendors retire or alter endpoints.

Software updates

New versions breaking old code.

Data changes

New fields, formats or volumes.

Server limits

Disk, memory or rate limits reached.

Staff changes

Accounts removed with departing users.

Monitoring and review routines target each of these.

Who Needs It

Businesses with custom integrations, scripts, web applications and automations that staff depend on daily, especially if the original developer is no longer available.

Teams using reporting dashboards and connected tools who need the data to stay reliable.
