Email Signature Design

Clean, consistent HTML email signatures that match your brand, load quickly and display properly in Gmail, Outlook and mobile mail apps.

Every Email You Send Is a Small Brand Moment

Your team may send hundreds of emails a day, each ending with a different font, a stretched logo, a missing phone number or a signature that breaks on a phone. A well-designed email signature fixes this quietly. It makes every message look consistent, tells the reader who is writing and gives them an easy way to contact you or visit your website.

Email signature design covers the layout, typography, logo placement, contact details and links, and the technical build so the signature works across email programs. ViV Softech Solution, a website designing and digital marketing agency in Delhi, delivers this within our brand identity design services.

Signatures follow your visual identity, so they work best alongside brand guidelines, business card design and letterhead and stationery design.

Simple Beats Cluttered

Signatures with banners, many icons and long quotes often get blocked or look broken, and they slow down mail. We keep the design light, with a small logo and only the details people really need.

We are also honest about limits. Email programs render HTML differently, and some hide images by default, so the signature must still make sense as text.

How We Design Email Signatures

We begin by collecting your brand assets: logo files, colours, fonts and any guidelines. We review how your team uses email now, which programs they use, whether staff reply from phones, and what details are needed in a signature. We then agree the content. A typical signature includes name, job title, company, direct phone or WhatsApp number, email, website and perhaps the business address. Extras such as social icons, a booking link or a short line about a current event are optional, and we advise keeping them few. We discourage legal disclaimers in large blocks, though we can include a short required notice. Next we create two or three layout directions: a horizontal layout with the logo on the left, a stacked layout for narrow screens, and a minimal text-led option. We choose type sizes and spacing for readability, check colour contrast so text is clear, and size the logo so it is sharp but small in file weight. Because email clients cannot use modern web code reliably, we build the final signature using table-based HTML with inline styles, web-safe fallback fonts and absolute image links, and we host images on your website or a stable location so they do not disappear. We make the clickable parts easy to tap on a phone, such as the phone number and website. Where appropriate we add tracking tags to the website link so you can see visits from email in analytics; see analytics and conversion optimization for measurement. We test in Gmail, Outlook desktop and web, Apple Mail and common mobile apps, and fix problems such as image blocking, dark-mode colour shifts and odd spacing. For teams, we prepare a master template and a sheet to fill in names and titles, and we can generate individual signatures. We write simple instructions for installing the signature in each program, with screenshots where useful. For larger organisations, we can advise on central signature management tools, though these are third-party products with their own costs. We cannot control how every recipient’s email program displays the signature, but a simple, well-built design looks professional in the vast majority of cases.
