Sales Funnel Analysis

Follow customers from first click to signed deal, find the stage where the most value leaks out, and decide whether marketing, the website or sales should fix it first.

More Leads Will Not Fix a Leaking Funnel

When sales are below target, the usual response is to buy more traffic or generate more leads. But if only a small share of leads is ever contacted, or most quotes are never answered, extra leads simply pour into the same leak. Before spending more, it pays to know where customers are lost between the first visit and the final sale.

Sales funnel analysis maps the whole path, from visit to enquiry to qualified lead to proposal to customer to repeat buyer. It measures how many people pass each stage, how long they take, and where and why they drop out. ViV Softech Solution, a website designing and digital marketing agency in Delhi, delivers this as consulting within our business growth consulting services.

It covers the full journey across marketing and sales. Narrower views include landing page analysis for the page itself, lead quality analysis for source quality, and funnel drop-off analysis within website analytics.

What We Analyse

Stage Conversion

Percentage moving from each stage to the next.

Speed and Delay

Time to respond, quote and close.

Source Paths

How different channels perform through the funnel.

Value Leakage

Revenue lost at each drop-off point.

Loss Reasons

Why prospects chose not to proceed.

Retention

Repeat purchase and referral stages.

Analysis Is Only as Good as the Records

If leads are not logged or outcomes are not recorded, the first findings may be about missing data. We state clearly where numbers are measured and where they are estimated, and we recommend the minimum record-keeping that makes future analysis reliable.

We also avoid pretending that every stage can be measured. Some influence, such as word of mouth, shows up only indirectly. Where we cannot measure, we mark it and use interviews to fill gaps.

How We Analyse a Sales Funnel

We start by drawing your funnel as it truly works. We talk to marketing and sales, and trace some recent customers from their first contact to their purchase. We name the stages in plain terms: visitor, enquiry, contacted, qualified, proposal, negotiation, won, lost and repeat. For service and B2B firms this follows the pipeline in the CRM; for shops it follows visit, product view, cart, checkout and order. Next, we gather data for a recent period, usually six to twelve months: website analytics, ad platform data, form and call records, CRM stages, quotes, invoices and repeat orders. We combine them into one table by lead, using identifiers such as email, phone or order number. We calculate counts and conversion at each stage, overall and by source, campaign, product and sales owner. We calculate time spent in each stage and the share of leads never contacted. We then convert these into value, using average deal size and margin: if the stage from proposal to won converts at twenty percent, what would raising it by five points mean in revenue compared with raising leads by the same effort? This turns percentages into priorities. We look for patterns. Is one source filling the top but not closing? Do leads contacted within an hour convert far better? Do proposals above a certain size stall? Are repeat purchases ignored? We examine lost deals for reasons: price, timing, trust, lack of fit or competitor. We review samples of enquiries, call recordings if available and follow-up emails, to see the sales conversation itself. Where the top of the funnel is the leak, we examine site experience and traffic quality; see conversion strategy. Where follow-up is the leak, we propose process changes such as response targets, scripts and automation, as in automated lead follow-up. Where retention is weak, we suggest campaigns like those in repeat-purchase campaigns. The output is a report with a funnel diagram, stage metrics, the biggest leaks ranked by value, root-cause findings, and a prioritised action plan with owners and timing. We can also set up a simple dashboard for ongoing tracking. We cannot guarantee revenue increases, since execution, pricing and market conditions matter, but a funnel view tells you where effort is most likely to repay and prevents spending on the wrong stage.

Typical Findings

Uncontacted leads

A share of enquiries never receive a reply.

Slow response

Fast follow-up closes far more often.

Proposal drop-off

Quotes sent but not followed up.

Wrong audiences

Channels filling the funnel with poor fits.

Cart abandonment

Shoppers leaving at shipping or payment.

No second sale

Customers never invited back.

These are common patterns, not conclusions about your business.

Who It Suits

Businesses with some history of leads and sales, in services, B2B, education, real estate and e-commerce, which want to grow without simply spending more.

Teams where marketing and sales blame each other for poor results and need shared facts. See sales pipeline setup.
