Product and Service Enquiry Bot

A WhatsApp bot that shows your products or services, answers basic questions and captures the details your sales team needs to quote.

Enquiries Arrive Incomplete

A typical WhatsApp enquiry reads “Price?” or “Do you have this?” Your team then asks which product, what quantity, which city, when needed, and each round of questions takes time. Some customers lose patience and move on to a competitor who answered faster.

A product and service enquiry bot handles that first exchange. It greets the customer, shows what you offer, asks the few questions you need answered, and passes a complete enquiry to a salesperson. ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds these within our WhatsApp chatbots and automation services.

It focuses on browsing and enquiry capture. For scoring and qualifying business leads in depth, see lead qualification chatbot, for website-based assistants see sales enquiry assistant, and for generic questions see automated FAQ responses.

Only What You Can Stand Behind

The bot shares prices or stock only when your data is current. Where prices vary, it says so and offers a quote instead of guessing.

It also asks for as little personal information as needed, tells customers how their details will be used, and always offers a way to speak to a person.

How We Build the Enquiry Bot

We begin with your sales process. We read past enquiries and ask your sales team what they need to know before they can quote. For a manufacturer it might be product, quantity, specification and delivery city. For a school it might be class, age, location and preferred contact time. For a service firm it may be type of service, size of job, address area and timeline. We list these fields and decide which are essential and which can be asked later. Next we structure your offer for the bot. We group products or services into three to eight categories, each with a short description, key points and perhaps one or two images. If you already have a WhatsApp catalogue, we use it; see business catalogue setup. We write the conversation in friendly, short messages. It opens with a greeting and a menu. When the customer chooses a category, the bot shows options, then asks one question at a time using buttons and lists where possible, which is easier than typing. After collecting the details it summarises the enquiry and asks the customer to confirm. Then it thanks them and states when someone will reply. We add rules for out-of-hours, so the customer knows the expected response time. We build on the WhatsApp Business Platform using a chatbot builder or custom flow, which allows buttons, lists, catalogue messages and handover. We connect the bot to your CRM or a sheet through an integration, creating a lead with the answers, source and time, and alerting the salesperson by WhatsApp or email. Where you operate in different cities or product lines, we assign leads by rule. We prepare any approved templates needed for follow-up outside the service window; see approved template message setup. We test with sample customers, including people who change their minds, send photos, use Hindi or Hinglish or ask something off-menu. Off-menu questions are routed to a person. After launch we track how many conversations reach a completed enquiry, where people drop off and which products attract interest, and we simplify steps that lose people. We cannot guarantee a number of leads or sales, since these depend on price, product and follow-up, but a bot that gathers complete enquiries lets your team respond faster and with better information. The ongoing management of chats remains with your team, supported by customer support workflows if needed.
