CRM Data Entry Workflows

Stop retyping enquiry details. Capture names, needs and notes from emails, chats and forms straight into the right CRM fields.

Your CRM Is Only as Good as the Data in It

Sales teams dislike typing into the CRM, so records stay half-empty: no source, no budget, no next step. Reports then show nothing useful, and follow-ups depend on someone’s memory. When software extracts details and fills fields, people only review and add judgement.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds these workflows within our AI-powered workflows services.

This page is about AI-assisted capture of details into the CRM. Automatic rules that move deals along are CRM workflow automation, and installing the CRM is CRM setup.

What We Automate

Email Capture

Details pulled from enquiry emails.

Chat Capture

WhatsApp and web chat summaries.

Call Notes

Staff notes turned into fields.

Validation

Phone, email and city formats checked.

Duplicate Checks

Match existing contacts before creating new.

Review Queue

People approve uncertain entries.

Accurate, Not Reckless

The tool fills only fields it can support from the source text. It leaves others blank rather than inventing a budget, date or name.

We keep a log of what was written and from which message, limit who can edit it and handle personal data as set out in your privacy policy.

How We Build CRM Data Entry Workflows

We start by studying what your CRM should hold. We review your fields, pipeline stages and reports, and ask your sales and support teams which details they re-key most often and which missing details cause the most trouble. We then rank fields by value: contact details, source, service wanted, location, budget, timeline, decision maker, next action and consent status. Next we list the places where this information first appears: web forms, enquiry emails, WhatsApp chats, call logs, business card photos, marketplace leads and spreadsheets. For each source we examine real examples to see how messy it is. Forms are structured and need only mapping; emails and chats are unstructured and need extraction. For structured sources, we map each form field to a CRM field, standardise formats and fix common errors, such as phone numbers with spaces or missing country codes; see form to email and CRM integration. For unstructured text, we use an AI extraction step. We write instructions that name the fields, give examples of correct output, state what to do when information is absent and require a fixed output format. The tool reads a message and returns the fields it found, with a short quote from the source as evidence and a confidence rating. We test the extraction on a sample of real messages, compare it with human entries and tune the instructions; see prompt and knowledge base development. We then add checks. A validation step confirms that email addresses and numbers are well formed, dates make sense and dropdown values match allowed options. A matching step looks for an existing contact by phone, email or name and company, and either updates the record or flags a possible duplicate for review. We set rules for conflicts, such as keeping the existing value and adding the new one as a note. Entries with low confidence, missing key fields or unusual content go to a review queue where a person approves or edits them with one click. High-confidence entries can be saved automatically once you are happy with accuracy. We write a short summary note on each record with the enquiry in plain words, so that the next person does not need to read a long thread. We add a timeline entry and a next-step task where appropriate; see lead pipeline configuration. We connect everything through an integration platform or your CRM’s own tools; see website to CRM integration. We protect data with limited access, secure keys and a retention policy. We train staff to use the review queue, correct errors and report new patterns; see CRM usage training. We monitor weekly at first, tracking accuracy, time saved and the share of records that are complete. We cannot guarantee error-free extraction, and handwritten or unclear sources may need manual entry, but a monitored workflow keeps records fuller and frees your team for conversations.
