Email List Segmentation

Stop sending one message to everyone. We split your contacts into useful groups so each email reaches people who actually want it.

One Message to Everyone Fits No One

A new customer, a long-time buyer and a lead who enquired once and vanished do not need the same email. When all of them get an identical newsletter, some ignore it, some unsubscribe and some mark it as spam, which hurts delivery for the whole list.

Email list segmentation divides your contacts into groups based on who they are, what they have done and what they are interested in. Each group then receives messages that match. ViV Softech Solution, a website designing and digital marketing agency in Delhi, sets up segmentation within our email marketing services.

Segments are the base for most email work, including promotional email campaigns, lead nurturing emails and customer re-engagement campaigns.

Ways We Segment

By Customer Stage

Lead, first-time buyer, repeat buyer, lapsed.

By Behaviour

Opens, clicks, pages visited and purchases.

By Interest

Products or topics people showed interest in.

By Location

City, region or service area.

By Value

Order size, frequency and recency.

By Business Type

Industry, company size or role for B2B lists.

Consent and Clean Data First

We only segment lists that were collected with permission. We do not help with purchased or scraped lists, which damage sender reputation and can breach data protection rules.

Segmentation also depends on data quality. If your records lack fields, we show you how to collect the missing ones through forms and preferences, not guess.

How We Build Email Segments

We start with an audit of your list and your goals. We look at where contacts came from, what data exists for each, how many are active, how many have not opened in months, and what your platform can do, whether Mailchimp, Brevo, Zoho Campaigns, HubSpot or another tool. We check for duplicates, role addresses, invalid emails and contacts without a clear consent record. Cleaning comes first, since sending to dead addresses hurts delivery; see email deliverability support. Next we agree what you want segmentation to achieve. It may be higher sales from repeat buyers, better lead follow-up, fewer unsubscribes, more event sign-ups or a stronger welcome experience. From the goals we design a segment model that is simple enough to maintain. Many businesses need only five to ten segments, not fifty. A common starting model has new subscribers, engaged readers, customers by product category, inactive contacts and high-value customers. For B2B it might be by industry, role and stage of the sales cycle. We define each segment with clear rules, such as “opened or clicked in the last ninety days” or “purchased in the last thirty days”, and we choose time windows that suit your sales cycle. We add tags, custom fields and lists in the platform, and connect data sources such as your website forms, online store or CRM so that segments update automatically. Where tracking is needed, we set up link tags and events. We also create a preference centre or a short form where subscribers choose topics and frequency, because stated interest is more reliable than guessed interest. We then plan how segments will be used: which campaigns go to which group, how often each group receives email, and what the exclusion rules are, for example not sending a discount to someone who just bought at full price. We test with small sends, comparing results across segments. We document everything in a simple guide and train your team to maintain the rules. After a few campaigns, we review performance by segment, adjust thresholds and retire groups that do not help. We cannot guarantee higher revenue, since offers, timing and list quality all matter, but sending relevant messages generally improves engagement and reduces complaints. For the content itself, see email marketing copy.
