Calendar and Appointment Integrations

Connect your booking tool, your calendar and your CRM, so every appointment lands on the right lead record, with reminders and no double booking.

Bookings in One System and Leads in Another Cause Missed Meetings

A prospect books a call through a scheduling link. The salesperson sees it in a calendar but the CRM still shows the lead as “New”. Someone else calls the same person for a first conversation, another books a slot already taken, and nobody records that the meeting happened.

Calendar and appointment integrations connect the places where meetings are made, shown and recorded. ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds them within our CRM integrations services.

This page covers the CRM connection. Building the booking flow for visitors is covered in consultation booking funnels, the automation of slots in appointment scheduling automation and the website side in calendar and booking integrations.

What We Connect

Calendars

Google Calendar, Outlook and Microsoft 365.

Booking Tools

Calendly, Cal.com, Zoho Bookings and plugins.

CRM Records

Meetings logged against the contact or deal.

Two-Way Sync

Changes in either place update the other.

Reminders

Email, SMS or WhatsApp before the meeting.

Conflict Control

Buffers, working hours and no double booking.

Respect People’s Time and Data

Calendars hold private details. We share only what is needed, usually busy or free status for availability, and keep meeting titles and notes within the permissions each person grants.

We cannot promise that nobody will miss a meeting, but reminders and easy rescheduling cut no-shows. We make no claim about a specific reduction.

How We Integrate Calendars and Appointments

We start with how appointments work today. Who books, through which channels, who attends, how long each type lasts, where it happens, and what must be recorded afterwards? Typical types include sales discovery calls, site visits, demos, consultations, onboarding sessions and service visits. For each type, we note the participants, location or video link, preparation needed and expected outcome. Next, we audit tools: the booking page or plugin, calendars used by staff, the CRM, video conferencing, and messaging for reminders. We choose a design that fits. In a simple design, a booking tool such as Calendly or Cal.com checks each person’s calendar for availability, creates the event, sends confirmation and passes the booking to the CRM, which creates or updates the contact and logs a meeting. In a deeper design, the CRM itself offers booking pages and syncs with calendars, so the whole flow stays in one place. For tools without a direct connection, we use an automation layer or a small service using webhooks and APIs; see API and webhook integrations. We set the rules. Availability follows working hours, holidays, buffers between meetings and limits per day. Different appointment types have their own durations and owners. Round-robin or service-based assignment sends the booking to the right person; see lead pipeline configuration. We map data. The booking form’s name, phone, email and answers go to CRM fields; the source of the booking is saved; and the lead’s stage moves automatically, for example from Qualified to Meeting Booked. If the visitor already exists in the CRM, the booking attaches to the existing record, not a duplicate. We set up reminders and follow-ups. A confirmation arrives at once, a reminder a day before and an hour before, and a follow-up after the meeting asks for next steps. Reminders can be sent by email or WhatsApp with approved templates; see appointment reminders and order and service notifications. Rescheduling and cancellation links update both calendar and CRM, and freed slots reopen. We add outcome capture: after the meeting, the owner records whether it took place, no-show or rescheduled, and the CRM moves the stage or creates a task. We test with different time zones, last-minute changes, deleted events and calendar permissions, and verify that recurring or private events block time correctly. We document the setup and train staff to use one calendar as the source of truth. We cannot control third-party calendar outages and some tools limit sync on lower plans, but a connected system means everyone sees the same schedule and each meeting shows up in the sales record.
