API and Webhook Integrations

Connect your CRM with the other tools you use through secure APIs and webhooks, with retries, logging and clear documentation behind every link.

When Ready-Made Connectors Are Not Enough

Many CRMs offer one-click connectors for popular tools. When your stack includes a billing system, a school or clinic management tool, a booking platform, a local payment gateway or an internal database, no such connector exists. Teams then copy data by hand, which is slow and error-prone.

API and webhook integrations connect systems directly. ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds them within our CRM integrations services.

This page concerns CRM-centred links. Broader custom software and systems work is covered by CRM and ERP integrations, and WhatsApp-specific links by WhatsApp API integration with websites and CRMs.

What We Build

Inbound Webhooks

Receive events from forms, ads and apps.

Outbound Webhooks

Send CRM events to other tools.

API Connections

Create, read and update records.

Data Mapping

Fields converted and validated.

Retries and Error Handling

No silent failures or lost records.

Secure Access

Keys, tokens and limited permissions.

Simple Where Possible, Custom Where Needed

If an automation platform or native connector does the job safely, we use it. Custom code is added only when needed, and it is documented so another developer can maintain it.

We work within each vendor’s terms and rate limits, and we do not bypass restrictions or scrape systems that offer no permitted access.

How We Build API and Webhook Integrations

We begin with the business flow, not the technology. What event in system A should cause what action in system B? For example: a paid invoice marks a deal as won; a new website enquiry creates a contact and a task; a status change in the CRM triggers a WhatsApp message; a booking in a scheduling tool logs a meeting. We write each flow as a short specification covering the trigger, the data needed, the action, the owner and what should happen on failure. Then we review the systems involved. We read the API documentation of each, check authentication methods such as API keys, OAuth or signed webhooks, rate limits, data formats, available objects and fields, sandbox access and costs. We confirm that your plan allows API access, because some CRM tiers restrict it. We choose the build method. Native connectors and automation platforms such as Zapier, Make or n8n suit simple, low-volume flows. A small custom service, built in a language that suits your stack, suits high volumes, complex logic or strict security needs. We design the data model: how a person in one system matches a person in another, usually by email, phone or an external ID; how duplicates are avoided; which system is the source of truth for each field; and how updates in both directions avoid loops. For inbound webhooks, we create an endpoint that verifies the sender’s signature, responds quickly, queues the work and processes it safely, so a slow downstream system does not cause lost events. For outbound webhooks and API calls, we handle authentication, pagination, rate limits and temporary errors with retries that wait longer each time, and a dead-letter list for items that still fail. We validate data before sending: required fields, formats of phone numbers and emails, date and time zones, and currency amounts. We log every event with time, source, result and error, without storing sensitive content beyond what is needed. We set up alerts for repeated failures. Keys and secrets are stored in a secure place, not in code or shared documents, with rotation instructions. We build first in a sandbox or on test records, with test cases covering normal flows, missing fields, duplicates, large batches, and failures of each system. We then run a pilot with live data on a small slice before full launch. We document the integration: flow diagrams, field maps, endpoints, credentials locations, error codes and how to re-run failed items. We train your team to check the logs and to know whom to contact. Examples of what we connect include Google Ads lead integrations, Meta lead form integrations, calendar and appointment integrations, CRM to WhatsApp integration and website to CRM integration. We cannot connect to systems that offer no API or export, and third-party changes can break links over time, which is why monitoring and documentation matter. Maintenance can be arranged if you want ongoing care.

Common Integration Flows

Enquiry to contact

Form or ad lead creates a CRM record.

Deal won to invoice

Closed deal creates a billing entry.

Payment to status

Paid invoice updates the deal.

Status to message

Stage change sends a notification.

Booking to meeting

Scheduled call is logged.

CRM to data store

Records synced to a database or sheet.

We specify each flow before building it.

Who It Suits

Businesses that re-key data between systems, firms with a specialised sector tool, and teams outgrowing one-click connectors.

Growing companies with a mix of tools. See data import and migration for one-time moves of old records.
