Email Performance Tracking

Set up the tags, settings and connections that let you measure every email from the inbox to the enquiry.

You Cannot Report What You Did Not Measure

Many businesses discover after months of sending that their email clicks appear as “direct” traffic, their sign-up forms are not counted and their platform reports cannot be matched with sales. Tracking has to be built before the campaign, not after.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, configures measurement within our email platform setup services.

This page is about the technical set-up of measurement. Reading results is email campaign reporting, and moving data between platforms is mailing list migration.

Measurement With Limits Stated

We track in line with your privacy policy and consent choices, and we collect no more personal data than needed.

How We Set Up Email Performance Tracking

We begin by deciding what you need to know. A newsletter owner may care about visits and reading time, a shop about orders and revenue, and a service firm about enquiries and booked calls. We write a short measurement plan listing the questions, the metrics that answer them and where each number will come from. Then we audit the current set-up: how your email platform records clicks, whether your website has analytics installed, whether conversions such as form submissions, calls and purchases are counted, and how leads reach your CRM. Next we define a tagging scheme for links. Every link in an email should carry campaign parameters naming the source, medium, campaign and, where useful, the content or button, using lowercase, consistent values and no personal data in the address. We create a shared tag sheet so that everyone builds links the same way, and we configure the email platform to append tags automatically where it can. We then prepare the website side. We make sure analytics identifies email traffic as its own channel, set up conversion events for the actions that matter, and check them as described in form submission tracking and lead source attribution. For online shops, purchases are tied back to campaigns; see purchase and transaction tracking. Inside the email platform we set up click tracking, bounce and complaint handling, unsubscribe processing, reporting dashboards and subscriber properties that record the sign-up source. We connect the platform to your CRM so that a subscriber who later becomes a lead keeps the original source; see CRM workflow automation. Where analytics depends on consent, we make sure tags respect the choice a visitor made; see consent-aware analytics configuration. We prepare templates so that tags are built in; see email templates. Before launch we run test sends to seed addresses, click each link on several devices and email apps, and confirm that the visit, the source and the conversion appear in analytics and the CRM. We note which numbers are exact and which are estimates. We then create a simple dashboard that combines delivery, engagement and outcome figures in one view, and document the set-up, including naming rules, who owns each tool and how to add a new campaign. We can train your team to use it; see CRM usage training. We cannot recover data for emails already sent without tags, and some measurements will always be approximate, but a tested set-up gives you trustworthy numbers from the next send onward.
