Opt-In and Opt-Out Management

Record consent properly, honour stop requests fast and keep your WhatsApp contact list permission-based.

Permission Is the Foundation of WhatsApp Messaging

On the WhatsApp Business platform, businesses are expected to message only people who have agreed to hear from them. When consent is vague, unrecorded or ignored after a customer says stop, complaints rise, quality ratings fall and messaging can be limited.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds consent processes within our WhatsApp Business API services.

This page is about consent records and stop handling on the API platform. Writing the promotional messages themselves is opt-in promotional messaging, template approval is approved template message setup, and results are in message delivery and campaign reporting.

Stop Handling

Keywords and buttons that end messages.

Suppression List

Opted-out numbers blocked from every send.

Compliance Without False Promises

We build processes aligned with WhatsApp’s published business policies and Indian data protection expectations as we understand them. We are not a law firm, and we suggest your legal adviser review the wording.

We will not help import bought lists or treat a phone number found online as consent. We cannot guarantee that your messaging quality or limits will stay unaffected.

How We Manage Opt-In and Opt-Out

We begin with a consent audit. We ask where your WhatsApp contacts came from: website forms, checkout, enquiry chats, event sign-ups, business cards, phone calls, imported spreadsheets or purchased data. For each source we check whether people clearly agreed to receive WhatsApp messages, what they were told to expect and whether the agreement was recorded. We group contacts into those with clear consent, those with weak or unclear consent and those with none, and recommend how to handle each group, including a re-permission message for the middle group where policy allows. Then we design the opt-in points. Good wording is specific: it names WhatsApp, the kind of messages (offers, order updates, appointment reminders) and the approximate frequency, and it is not pre-ticked. We place opt-ins on website and landing page forms, at checkout, in enquiry chats, on paper forms and at events; see form usability improvements. We separate service messages, which a customer expects after a transaction, from promotional ones, which need their own permission. We also support opt-in through the chat itself, such as a button reply to a welcome message. Next we set up records. For each contact we store the number, name if given, consent type, wording shown, date and time, source page or channel and a reference to the evidence, such as the form entry. The records live in your CRM or database, not only in a spreadsheet; see CRM workflow automation. We build the opt-out path. Every promotional message includes a simple way to stop, such as a quick-reply button or a keyword like STOP, and the system treats common variations in English and Hindi as stop requests. When someone opts out, the platform confirms it with a short message, adds the number to a suppression list immediately and removes it from audiences and automations. We make sure that sync between the API platform, CRM and any other tool is fast, so that a stop request on Monday cannot be followed by a campaign on Tuesday. We test by sending, opting out and trying to message the test number again. We also handle other signals: a customer who blocks or reports your number, a message that cannot be delivered and a request to delete data; see API integration with websites and CRMs. We write an internal consent policy and a simple staff guide on what to do when a customer asks to stop in a call or in person, and we train staff to record it; see standard operating procedure documentation. We set a monthly review of opt-out rates and complaints and a yearly clean-up of contacts. We cannot control how WhatsApp enforces its policies or how individual customers react, but clear, recorded consent protects your reputation and your messaging quality.
