Review Monitoring

Keep track of every new review across Google, JustDial, Facebook, marketplaces and industry sites, with alerts, trend reports and clear next steps instead of finding out weeks later.

You Cannot Manage Reviews You Do Not See

Reviews are now where many customers decide before they ever contact you. A new one-star review about a delayed delivery, a rude call or a billing mix-up can sit unanswered for days while potential customers read it. A positive review from a delighted customer may go unthanked. Most businesses only discover reviews when they remember to check, and they usually check only one platform.

Review monitoring solves the “not seeing” problem. Reviews from all the places your customers write them are collected into one view. New ones trigger alerts, ratings are tracked over time, themes are tagged so you can see what customers repeatedly praise or complain about, and serious issues are escalated to the right person quickly. It turns scattered opinions into a clear picture of how your business is perceived.

ViV Softech Solution is a website designing and digital marketing agency in Delhi, and we set up and run review monitoring as part of our review management services. Monitoring is the watching stage. Replying is covered by review response assistance, and gathering more reviews by Google review acquisition strategy. Mentions that are not reviews are covered by online brand mention monitoring.

Practical Limits

Not every platform offers an official feed of reviews. Some provide APIs, some send email notifications, some need a manual check and some forbid automated collection in their terms. We use official tools and notifications wherever they exist, and agree a manual checking routine for the rest, rather than scraping sites in ways that break their rules or risk your accounts.

That means coverage varies by platform. We tell you at the start what will be monitored automatically, what will be checked on a schedule and what cannot be monitored reliably, so you know exactly what you are getting.

How Our Review Monitoring Works

We start by listing every place your business can be reviewed. Many businesses are surprised by how many profiles exist, including ones created automatically by directories, old listings under previous names and duplicate Google profiles. Checking that you control the right ones is the first job; see business directory listings. We then set up the monitoring method for each source: notification emails routed to a shared inbox, official dashboards where available, review management tools that aggregate platforms and a simple tracking sheet for manual checks. Alerts are configured by severity. A new five-star review might go into a daily digest, while a one-star review or one mentioning words like refund, fraud, safety or legal triggers an immediate message to a named person. We create a tagging system for each review, covering topics such as product quality, delivery, staff behaviour, pricing, cleanliness, communication, billing and location, plus sentiment and urgency. Over time the tags reveal patterns, such as a particular branch with slow service or a product that receives repeated complaints. Each month we deliver a report with new review volume, average rating by platform, trend lines, the most common praise and complaints, response times, unanswered reviews and recommended actions. We also watch for suspicious activity, for example a burst of reviews from new accounts, reviews that appear to belong to a different business or content that breaks platform policy. Where reviews are fake, abusive or irrelevant, we help prepare a report to the platform with the evidence, though removal decisions rest entirely with the platform and are never guaranteed. We do not buy, write or edit reviews, and we do not recommend any practice that breaks platform rules. Finally, we agree escalation paths: who handles service complaints, who handles legal threats, who approves responses to sensitive reviews and how quickly each should act. This keeps the process calm and consistent even when a harsh review arrives on a busy day.

What the Reports Show

Volume and rating

New reviews and average score by platform.

Trends

Movement over weeks and months.

Themes

What customers praise and complain about.

Locations or teams

Differences between branches or staff groups.

Response status

Unanswered reviews and response times.

Linking Monitoring to Action

Monitoring is most valuable when it feeds improvement. Themes from reviews can guide operations, training and product changes, and unresolved complaints can be routed to support. See reputation audit and reputation improvement strategy.

For Google Business Profile replies specifically, see review response support under local SEO, and for reputation-focused replies across all platforms, see review response assistance.
