Review Request Workflows

Automatically ask customers for reviews at the right moment, by SMS, WhatsApp or email, with one-tap links and clear rules that keep you within platform policy.

Happy Customers Rarely Review Unprompted

Most satisfied customers leave without writing a word online, while a few unhappy ones are more likely to post. The result is a review profile that understates how good your service is. The fix is simply asking, politely and consistently, at the moment when satisfaction is highest.

Review request workflows turn that asking into a routine. After a sale, visit or job, the system sends a short message with a direct link to your Google review page. ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds these within our review management services.

This page is about the automated request process. For the overall approach to building your review base, see Google review acquisition strategy and review generation strategy; for what happens after reviews arrive, see review monitoring and review response assistance.

No Review Gating, No Incentives for Positive Reviews

Google’s policies discourage review gating, which means only sending happy customers to the public review page. We invite everyone to leave an honest review, and handle complaints as a separate service matter.

We also do not offer discounts or gifts in exchange for positive reviews, and we never write or buy fake reviews. They breach platform rules and risk removal or penalties.

How We Build Review Request Workflows

We start by understanding your customer journey and where the best moment to ask is. For a restaurant it might be shortly after the visit; for a clinic after a completed consultation; for an online store after delivery and a few days of use; for a home service company right after the job is signed off. We look at what systems record these events: a CRM, billing software, booking tool, store platform or a simple sheet. We check you have a verified Google Business Profile, and we obtain the correct review link for each location. If you have several branches, each gets its own link and routing. Then we design the message. A good request is short, personal and clear about why it matters. It thanks the customer, mentions the service, says that honest feedback helps others choose and gives a single link. We write versions for SMS, WhatsApp and email, and choose the channel based on what customers use and what consent you hold. For WhatsApp, the message is sent with an approved template; see approved template message setup. For SMS in India, registered sender IDs and templates are required. We then set the trigger and timing, such as two hours after an appointment or three days after delivery, and a single reminder a few days later if no review is detected, followed by no further messages. We build suppression rules so customers are not asked repeatedly, are not asked while a complaint or refund is open, and are not asked if they opted out of messages. If a customer replies with a problem, the workflow alerts a manager and pauses further requests so the issue is resolved first. This is not gating, because the review link remains available to everyone in the original message. We connect the pieces using your CRM, a review management tool or automation platform such as Zapier or Make, and test them with real transactions. We make it easy for staff too, with QR codes at the counter or on receipts that open the same review link. We track outcomes: requests sent, links clicked and new reviews, as far as the platforms allow. We cannot see exactly which customer left which review, and we cannot guarantee any number of reviews or any star rating, because results depend on service quality. We do advise on responding to all reviews quickly; see review response assistance. Over time, a steady flow of recent, genuine reviews builds trust for new customers and supports local visibility; see Google Business Profile optimization.
