Email Campaign Reporting

Clear reports on every send: what happened, what it means and what to change in the next one.

Open Rates Alone Do Not Tell the Story

Email platforms flood you with percentages. But a high open rate may come from privacy features that pre-load emails, and a low click rate may hide a successful message that simply brought phone calls. Numbers need context to guide action.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, prepares email campaign reports within our email marketing services.

It covers reading results after sends. Setting up measurement in the platform is described in email performance tracking, the campaign plan in email marketing strategy, and wider reporting in campaign performance reviews.

What the Report Shows

Sent, delivered, bounced, blocked.

Engagement

Clicks, replies, forwards, unsubscribes.

Outcomes

Segments

Comparisons

Against past sends and your own baseline.

Actions

Specific changes for the next campaign.

Honest Reading of the Numbers

We explain what each metric can and cannot tell you, including the limits of open tracking, and we avoid declaring winners from tiny samples.

We compare against your own history, not generic industry averages, and we promise no particular rates.

How We Build Email Campaign Reports

We begin by agreeing what each campaign was meant to achieve. A welcome series aims to start a relationship, a promotion aims for bookings or sales, a newsletter aims for attention and visits, and a re-engagement aims to revive quiet contacts. The report measures against that goal. We then collect data from your email platform, website analytics, CRM and, where relevant, phone and WhatsApp records. Email platforms provide delivery, bounce, click, unsubscribe and complaint figures; website analytics shows sessions and conversions from tagged links; the CRM links leads to sales. We check that links carry consistent campaign tags so that traffic is attributed correctly; see lead source attribution. Next we clean and interpret the figures. We note known distortions: automated opens from privacy features, bot clicks from security scanners, internal test sends and duplicates. We separate human-like clicks from machine ones where we can. We review deliverability signals such as bounce type, spam complaints and domain authentication; see email deliverability support. We then analyse. For each campaign we look at the funnel from delivered to clicked to converted, the performance of each link and call to action, results by device, time of day, segment and subject line, and the unsubscribe and complaint rates relative to list size. We compare with your previous sends of the same type and with a rolling baseline, and we mark differences that are large enough to matter. We examine the content: which topics, offers and formats drew response, and which were ignored. For automated sequences, we report by step, so you see where subscribers drop off; see automated email sequences. We connect email to outcomes by tracing leads and sales to campaign tags, noting when email assisted a purchase made later through another channel. We build the report in layers: a one-page summary with the main result, three insights and recommended actions; a detail section with tables and charts; and an appendix explaining definitions and data limits. We deliver it after each major campaign and as a monthly roll-up, with a short call if you want to talk it through. We suggest tests for the next sends, such as one change at a time to subject lines, send time, offer position or button wording, with a plan to judge outcomes fairly. We keep a learnings log of what has been tried so you do not repeat experiments. We cannot turn weak content or a poor list into strong results by reporting, and some outcomes cannot be traced, but a clear report keeps decisions grounded in what actually happened.
