We start with an audit of your current setup. We list every audience, group, tag, custom field, form, landing page, automation, template, integration with the website or CRM, and report that you rely on. We ask how contacts were collected and how consent was recorded, and we sample the data to see its quality: duplicates, typos, role addresses, old contacts with no engagement, inconsistent formatting and missing consent dates. We also note what the old platform will export and what it will not, since automations and reports often cannot be exported and must be rebuilt by hand. Then we make a migration plan with a timeline, risks and a rollback option. The plan includes the target platform’s limits, import rules and costs. We take a full backup export from the old platform and store it securely, including subscribed, unsubscribed, cleaned and bounced lists, with all fields and engagement data. We then clean the data. We remove exact duplicates, fix obvious typos, standardise names and phone formats, check for invalid or risky addresses using a verification step, and separate contacts into groups by consent status and engagement. We recommend not migrating long-inactive contacts without a re-permission attempt, since they harm sender reputation; see customer re-engagement campaigns. We design a field map, matching each old field to a new field, with decisions about tags, groups and segments. We prepare the new platform: sender domain authentication, from addresses, privacy settings, branding and the footer details required for lawful email. Then we run a test migration with a small sample, check that fields, tags and consent flags appear correctly, and fix the mapping. After approval, we import the full list in stages, starting with the most engaged contacts, and import suppression lists first so that no unsubscribed person can be mailed. We rebuild forms and replace the old embed codes on your website and landing pages, checking that new sign-ups reach the right audience; see CRM workflow automation for connected systems. We recreate automations and templates, then test each with seed addresses to confirm triggers, timing and links. Before the first campaign we warm up the sending reputation by starting with engaged contacts and increasing volume gradually, and we monitor bounces, complaints and inbox placement; see email deliverability support. We keep the old account active for a short overlap period in case of issues, then close it only after you confirm. We reconcile counts between old and new, document what moved and what did not, and give you a handover note. We cannot import data that the old platform refuses to export, and a change of sending platform can briefly affect inbox placement, but a staged, tested move limits the risk.
