We begin by tracing what happens between a lead arriving and a salesperson acting. We submit test enquiries through each channel, such as the website form, call tracking, WhatsApp and ad lead forms, and time how long it takes before anyone notices. We also ask how your team likes to be reached: some live in WhatsApp, some in email and some in a CRM app. From this we list the events worth an alert. Typical ones are a new lead assigned to you, a high-value enquiry, a reply on a hot lead, a missed call, a form that asks for an urgent callback, a lead untouched after a set time and a deal that is stalled. For each event we decide who is told, how, how soon and what the message says. A good alert is short and complete: lead name, phone, source, what they asked for, any answers from the form, the owner and a link to the record or chat, so the salesperson can act without searching. Next we choose the delivery method. Email alerts are simple and reliable. Messaging alerts to staff phones are fast, and we set them up within the rules of the platform, using internal groups or API-based messages for staff; see API integration with websites and CRMs. CRM mobile apps can push notifications natively; see CRM automation. We connect the sources to the destination, whether through built-in features, a no-code platform or custom code, and match routing to your assignment rules so that the right person is alerted; see lead assignment and routing. We design escalation paths. If a new lead has no recorded action in, say, fifteen minutes in working hours, the alert repeats to the same person and then goes to a manager. Outside working hours, alerts wait for the morning, and the customer receives an acknowledgement. We build noise control with quiet hours, rate limits during campaigns, and a daily digest of lower-priority events. We make sure alerts do not expose private data to people who should not see it. We test every path with sample leads, including duplicates, missing phone numbers, a lead from an unexpected source and a day when the owner is on leave. We train the team to acknowledge alerts, record the outcome and report false or missing alerts. We then track response times before and after, number of escalations and complaints about noise, and adjust; see lead status reporting. We cannot guarantee delivery on the internet or make a team respond, and phones in silent mode miss alerts, but a clear, targeted notification flow shortens the gap between enquiry and first contact.
