Lead Routing to Sales Representatives

Hand every WhatsApp enquiry to the right salesperson at the right time, using the answers customers give your chatbot.

The Wrong Person Answering Costs You the Sale

A Hindi-speaking buyer reaches a rep who writes only in English. A high-value enquiry sits in a shared inbox while a junior replies to a price check. Two reps answer the same person. Without routing rules, response depends on who happens to look at the phone.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds routing within our WhatsApp chatbots and automation services.

It starts where the bot finishes. Gathering answers is lead qualification chatbot, scoring is lead scoring and qualification, and the CRM pipeline is lead pipeline configuration.

What We Build

Routing Rules

By service, city, language, value or source.

Team Availability

Working hours, leave and capacity respected.

Instant Handover

Alert with context so nobody starts blind.

Escalation Timers

Reassign if no reply in time.

Fair Distribution

Round-robin or weighted sharing.

CRM Sync

Owner and status saved on the lead.

Customers Always Know Who Is Helping

The bot tells the customer when a person is taking over and who it is, and it never pretends to be human. Customers can ask for a person at any point.

Routing uses only information customers chose to share, and we do not rank people by anything that could be unfair, such as religion, caste or appearance.

How We Set Up Lead Routing

We begin by learning how your sales team works today. Who handles which product, city or language? How are leads shared? What counts as a hot lead? How quickly must a reply go out? Where do leads get lost? We interview managers and representatives, and look at a sample of past enquiries to see which details predicted a good outcome. From this we write routing principles in plain language, for example: enquiries about commercial projects go to the senior consultant; Hindi chats go to a Hindi-speaking rep; leads from Gurugram go to the Gurugram team; anything above a stated budget alerts the manager as well. We then decide what the chatbot must ask to apply these rules: service needed, location, budget range, timeline, preferred language and whether the customer wants a call or a chat. We keep questions few, because every extra question reduces completion; see product and service enquiry bot. Next we build the rule engine inside the chatbot platform or the CRM, whichever is more reliable for you. Rules run in a clear order, with a default owner for anything unmatched, so no lead is left without a person. We add availability logic that reads working hours, holidays and leave calendars and avoids assigning a lead to someone who is offline, with a fallback to a teammate or a shared queue. For fairness, we use round-robin or weighted distribution so that new reps receive a reasonable share and top performers are not overloaded. We design the handover message for the salesperson: customer name, number, summary of answers, source page or campaign, time of first message and a link to the chat or CRM record. We design the customer-facing message that explains what happens next and sets realistic timing. We then add escalation. If the assigned person has not replied within a set time, the system reminds them, then alerts a manager and finally reassigns. Reminders are configured per priority, with shorter times for hot leads. We sync every assignment to the CRM so the owner, status, source and notes are saved and the pipeline stays accurate; see CRM workflow automation and lead source tracking. We prepare a manual override so managers can reassign, and an out-of-hours path that confirms receipt and schedules a first reply. We test with sample customers in several languages and cities, including incomplete answers and fast repeated messages. We train the team on how to accept, reply and mark outcomes; see lead handling and follow-up processes. We review routing monthly using response times, conversion by owner and lost leads. We cannot make representatives reply, and rules that look fair on paper may need adjustment as your team changes, but clear routing removes delay and confusion.
