Lead Handling and Follow-Up Processes

Train your team to reply fast, ask the right questions and follow up politely, so the enquiries your marketing earns are not wasted.

A Lead Is Only as Good as the Reply

You can run excellent ads and a fine website and still lose the sale if the enquiry sits unanswered for a day, if three people reply with different information or if nobody follows up after the first call. These losses are quiet, because nothing in the reports shows a customer who simply went elsewhere.

This training builds a clear process and the habits to follow it. ViV Softech Solution, a website designing and digital marketing agency in Delhi, delivers it within our business team training services.

It is about people and routines. The tools are covered in CRM usage training, the system set-up in CRM setup, and stage rules in lead pipeline configuration.

What the Training Covers

Reply Standards

Who responds, how, and how fast.

Qualifying Questions

Learning need, budget, timing and fit.

Scripts and Templates

Calls, WhatsApp and email wording.

Follow-Up Cadence

When and how often to follow up.

Hand-Offs

Passing leads between people cleanly.

Notes and Records

What to record after each contact.

Helpful, Not Pushy

We teach respectful follow-up that offers help, honours opt-outs and follows messaging rules, and we do not coach pressure tactics or false urgency.

We promise no conversion rate. Training improves consistency, while results still depend on your offer, price and market.

How We Teach Lead Handling and Follow-Up

We start with a diagnosis. We follow a few recent enquiries from arrival to outcome, and we place test enquiries with your permission through the website form, WhatsApp, phone and social messages. We time the replies, note the tone and accuracy, and see whether anyone followed up. We also review your records for how many enquiries arrived, how many were answered, how long it took and how many became sales. Then we meet the team that handles leads, such as front desk, sales, support and managers, to hear their view of the obstacles, which often include no clear owner, too many channels, missing information or unrealistic targets. We then design the process together. First we map the routes by which leads arrive and assign an owner for each, with a backup for leave and busy periods. We set reply standards, for example acknowledging within a few minutes in working hours and giving a full response the same day, and we agree out-of-hours messages. Next we create a short qualification guide: the few questions that tell you whether this person is a fit, such as what they need, location, timing, budget range and decision-maker. We teach how to ask them conversationally, not like an interrogation. We write scripts and templates for the first call, the first WhatsApp reply, the email with a quote, the reminder, the polite last message and the response to common objections, and we adapt them to your voice. We stress honesty, such as not promising delivery dates you cannot meet; see enquiry follow-up campaigns for the automated side. We set the follow-up rhythm: for example, a second contact after a day, a third after three days and a final check after a week, adjusted for your sales cycle, with different handling for hot, warm and cold leads. We train the team through role-play and live practice with real, anonymised cases, giving gentle feedback. We cover difficult situations, such as angry customers, price shoppers, people who ghost and out-of-area requests. We show what to record after each contact: date, channel, summary, next step and due date, and how to log it in the system; see lead source tracking. We set up simple reminders and a daily or weekly review of open leads, and we agree how managers will check the process without micromanaging. After the training we run a short trial period of two to four weeks, measure reply times and follow-up completion, and adjust the process. A refresher session after a few months helps keep standards up. We cannot guarantee higher sales, and staff turnover or heavy workloads can undermine any process, but a clear routine reduces the number of enquiries that disappear unseen.
