We start by collecting. With your permission, we gather files from the places they sit: shared drives, old hard drives, email attachments, WhatsApp, agency hand-overs, the website’s media library, social accounts and phones. We copy them into a staging area and do not move or delete originals. Then we audit. We list each file with its type, size, resolution, date, source and apparent use, and mark duplicates, low-quality files, files with unclear rights and files that are missing, such as a logo in vector form or a brand font. We classify assets into groups: brand marks, photography, product images, team photos, icons, illustrations, videos, audio, documents and templates. Next, we design the structure. A good library has few top-level folders, consistent naming and clear status labels. We create folders by asset type, then by campaign or year where useful, with a separate area for approved final files, working files and archives. We write naming rules that include the brand, asset type, description, size or version and date, using lowercase letters and hyphens to avoid problems on websites and servers. We add tags or metadata where your tool supports it. We then prepare the master assets. For logos, we collect or recreate vector files and produce versions on light and dark backgrounds, horizontal and stacked layouts, icon-only forms and one-colour variants, with safe-space rules; see brand guidelines. For photos, we select the best ones, remove near-duplicates, correct obvious problems and export web and print versions. For videos, we organise the masters and create compressed copies for the web and previews. We prepare size sets for common uses: social post and story sizes, ad sizes for search and social platforms, website banners and thumbnails, email headers, print sizes with bleed, and presentation slide ratios. We check that resolution fits each use and note where an asset is too small. We package campaign kits with everything a designer, agency or staff member needs: the logo set, approved photos, colour and font references, copy decks and links, in a single shared folder with a short readme. We write a simple guide describing where to put new files, how to name them and who approves them. We set permissions so that staff can view the library, a few people can add to it and only an owner can delete, and we recommend a backup in a second place. We provide a catalogue spreadsheet listing every approved asset with its link. We can hold a short briefing for your team and revisit the library after a few months to remove clutter. For companies that publish across channels, see content updates across multiple platforms. We cannot create quality that is not in the source files, and a low-resolution logo may need redrawing, but a tidy, shared library saves time on every campaign and avoids using outdated brand materials.
