Lead Assignment and Routing

Send every new enquiry to the right person automatically, with fallbacks and alerts, so no lead sits unanswered.

A Lead Without an Owner Goes Cold

When enquiries arrive in a shared inbox, everyone assumes someone else will reply. Some leads get three calls, others none. The best salesperson may never see the biggest deal, and managers cannot tell who was given what.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, sets up routing within our lead management services.

This page is about deciding who gets each lead. Chasing the lead afterwards is automated follow-up reminders, installing the CRM is CRM setup, and the WhatsApp version is lead routing to sales representatives.

Routing Methods We Set Up

By Location

City, region or branch of the enquirer.

By Service

Specialists get their own product leads.

Round Robin

Fair rotation among available staff.

By Value

Larger deals to senior sellers.

By Source

Ads, referrals and website forms handled differently.

Fallbacks

Reassignment when no one responds.

Fair and Transparent

Rules are written in plain words and shared with the team, so nobody wonders why a lead went elsewhere. Managers can see and adjust them.

Routing uses only data the enquirer submitted for this purpose. We promise no sales growth; faster, clearer ownership is the aim.

How We Set Up Lead Assignment and Routing

We start by watching how leads move today. Where do they arrive: website forms, phone calls, WhatsApp, ads, marketplaces, walk-ins? Who sees them first? Who decides who calls? How long does the first reply take? We collect a sample of recent leads and mark who handled each, how fast and what happened, which often shows where leads were lost or double-handled. Then we interview the sales team and managers about how they would like leads split. Common needs are territory, language, product knowledge, deal size, availability and workload. We turn these into a small set of clear rules in priority order. For example: a lead from Mumbai asking about service A goes to the Mumbai specialist; if she is absent, to the next specialist; otherwise to the round-robin pool. We also decide on rules for returning customers, who should go back to their previous account manager, and for duplicates, which should be matched to the existing record instead of creating a new owner. Next we prepare the data. Routing depends on fields such as city, service, budget and source being captured and clean, so we adjust forms to collect them with dropdowns rather than free text; see form submission tracking and lead source tracking. We create user records, teams, working hours and leave calendars in the CRM, so that absent staff are skipped. We then build the rules in your CRM or automation tool, using its native assignment features where possible and a workflow tool where needed; see CRM workflow automation. Each assignment triggers a notification to the owner by email, app or WhatsApp, with the lead details and a link to the record. We add a response timer: if the owner does not act within an agreed time, the lead is flagged, then reassigned or passed to a manager. We include a manual override for managers and a clear way for staff to reject a lead with a reason. We connect routing with pipeline stages so that ownership appears in reports; see lead pipeline configuration. We test with sample leads for every rule, including edge cases such as missing city, unusual source, after-hours arrival and duplicates, and we run the new rules alongside the old process for a short time. We train the team on what changes for them and give managers a simple view of leads by owner, response time and outcome; see lead handling and follow-up processes. After launch we review the results after a few weeks, looking at response times, workload balance and conversion by owner and rule, and adjust the rules; see lead conversion analysis. We cannot make salespeople reply, and small teams may need only simple rules, but clear automatic ownership removes the delays and disputes that lose leads.
