Customer Feedback Collection

Gather honest private feedback after every sale, visit or job, so you hear about problems before they become public reviews and learn what customers value most.

Public Reviews Show Only Part of the Picture

Most customers never write a public review. Many who had a small problem simply leave and do not return. If your only feedback source is Google or Facebook, you hear from a small, uneven slice of customers, and often after the damage is done.

Customer feedback collection is the private, structured side of listening: short surveys, rating prompts and comment boxes that reach your team directly. ViV Softech Solution, a website designing and digital marketing agency in Delhi, sets these up within our review management services.

It is separate from asking for public reviews, which is covered by review request workflows and Google review acquisition strategy. Feedback collection is about learning and improving, not about reputation display.

Close the Loop or Do Not Ask

Asking for feedback and ignoring the answers is worse than not asking. Every low score gets a human reply, and we agree who owns it and how fast.

We also protect privacy. Surveys state how answers are used, collect only what is needed and keep personal details out of shared reports unless the customer agrees.

How We Build a Feedback System

We start with what you want to learn. Do you want to know how satisfied people are overall, which part of the service disappoints, why customers leave, or how staff perform? Each goal needs different questions. We interview your team and review complaints and compliments you already receive. Next we pick moments to ask. A short survey right after a service captures fresh impressions, and a later check-in captures the effect of the product. Too many surveys annoy people, so we set rules: one request per customer in a given period, and none while a complaint is open. We design the questions. A typical set has one overall rating, one or two specific ratings such as speed, staff friendliness or product quality, one open question such as “What could we have done better?” and an optional contact permission box. We keep wording neutral, avoid leading questions and use scales consistently so results can be compared over time. If you use recommend-likelihood scoring, we explain its limits and use it as one indicator, not the only one. We then choose tools. A simple Google Form or Typeform may be enough; larger businesses may use survey platforms or their CRM. We build mobile-friendly forms with your branding, and generate links and QR codes for counters, receipts and packaging. Delivery is automated where possible: a message after an order status changes or an appointment ends, via the channel the customer prefers. For WhatsApp we use approved templates; see approved template message setup. Responses go into a sheet or dashboard with filters by date, location, service and staff team. We add alerts so low scores or angry comments are sent to a manager immediately, along with a recommended response time and a short reply guide. We write sample replies for different cases, such as apology and fix, clarification request and thanks for praise. We also decide how to use positive feedback: with permission, quotes can feature on your site or social media, and satisfied customers can be invited to a public review; see review response assistance for public replies. Each month we prepare a short summary: scores, themes, top complaints, top compliments and suggested actions. We cannot guarantee higher satisfaction, since improvement depends on acting on what you hear, but a steady feedback stream gives you the information to act.
