Appointment Confirmations

Send a clear WhatsApp confirmation the moment a booking is made, so clients know when, where and what to bring.

A Booking Without Confirmation Is a Maybe

Clients book by phone, form or chat and then wonder whether it went through. They forget the address, arrive at the wrong branch or do not know what to prepare. A prompt confirmation settles all of this within seconds and gives you a record of what was agreed.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, sets these up within our WhatsApp customer messaging services.

It covers the message sent at booking. The reminders before the visit are appointment reminders, taking the booking in chat is appointment booking workflows, and scheduling logic is appointment scheduling automation.

Service Messages, Not Promotions

Confirmations are sent only to people who made a booking and gave their number for that purpose. We do not slip offers into them.

Health, legal and financial details stay minimal in the message. We never include sensitive information that someone else could read on a lock screen.

How We Set Up Appointment Confirmations

We begin by understanding how bookings are made today: website forms, phone calls, walk-ins, third-party platforms, chat and staff entering them in a calendar. Each entry point needs a way to trigger the confirmation, so we list them and decide which can be automated. We then collect the facts the message needs for each appointment type: service name, duration, location or online link, the staff member, fees or deposit status, cancellation terms and preparation notes. A dental visit needs different notes from a legal consultation or a car service. We write the confirmation text in clear, polite language. It should open with the client’s name and the key facts in a short block, then list one or two instructions, and finish with how to change the booking. We write versions in English and Hindi where needed and keep each message short enough to read at a glance. Because confirmations are sent outside a customer-initiated conversation window, they use approved message templates in the WhatsApp Business API; we draft the templates with variables for name, date, time, place and reference, choose the correct category for service messages and submit them for approval; see approved template message setup. We then connect the trigger. When a booking is created in your calendar, booking tool, CRM or website form, the system sends the template to the number on the booking, after checking that the number is valid and in international format; see calendar and booking integrations. We add one-tap buttons such as Confirm, Reschedule and Cancel. When a client taps one, the system updates the calendar and CRM, informs staff and can offer new slots for rescheduling. We set rules for edge cases: double bookings, bookings made at short notice, changes by staff, group bookings and numbers that fail. If delivery fails, the system alerts staff or sends an email backup. We also create an email or SMS fallback for clients who are not on WhatsApp. We test every path with sample bookings, reading the messages on several phones and checking the time zone and language. We make sure the message appears correctly in the chat thread and that replies go to the right person; see customer support workflows. We train your staff to handle replies such as questions about fees or travel. We track outcomes: the share of confirmed bookings, reschedules, cancellations and no-shows, and compare them with your earlier figures. We cannot guarantee fewer no-shows, as that depends on your service and clients, and we cannot send to people who have not provided a number, but clear confirmations reduce confusion and missed visits.
