AI-Assisted Reporting

Get weekly and monthly business reports drafted from your own data, with checked numbers and plain-language summaries.

Reports Should Take Minutes to Read, Not Days to Build

Every month someone exports figures from analytics, ads, the CRM and accounting, pastes them into slides and writes a summary. It takes hours, numbers sometimes mismatch and the story depends on who writes it. Automation can gather and calculate the data, and AI can draft the commentary for a person to check.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, builds this within our AI-powered workflows services.

This page is about automating report preparation. Deciding which metrics matter is lead generation dashboards and reporting and KPI development, while marketing-specific reports are monthly SEO reports.

Numbers Come From Code, Not Guesswork

Every figure is calculated by formulas on your actual data. The AI only describes numbers it is given and cannot add figures of its own.

We never invent results, and where data is missing the report says so. Explanations of causes are labelled as possibilities, not facts.

How We Build AI-Assisted Reporting

We begin with the reader. Who gets the report: the owner, the sales head, the marketing team or a client? What decisions do they make with it? A weekly sales note for a manager looks very different from a quarterly review for directors. We collect a few past reports and ask what people found useful and what they skipped. Then we agree on a short list of measures with definitions, such as leads, qualified leads, bookings, revenue, cost per lead, conversion rate and response time, and we fix the rules for each: where the data comes from, how it is calculated, which dates it covers and how it compares with the previous period. Writing the definitions down removes the arguments about whose number is right; see reporting and KPI development. Next we map the data sources: analytics, advertising platforms, search tools, the CRM, billing or accounting files, support systems and spreadsheets. We check access and decide how data will flow, using direct connections, scheduled exports or an integration platform; see API-based workflow integration and Google Sheets automation. We build a data store, often a sheet or small database, where each period’s figures are saved after being cleaned and checked: missing days flagged, currencies and time zones aligned, duplicates removed and totals reconciled against the source tools. Calculations happen here, using fixed formulas. Then we design the report layout: a headline section with the three to five key numbers and their change, a short written summary, charts for trends, a table of details and a list of actions or questions. We build the visual parts in your preferred format; see lead generation dashboards. For the written part, the AI receives only the calculated figures and comparisons, with instructions on length, tone and what to highlight. It must refer only to numbers provided, describe changes in neutral terms, avoid claiming causes without evidence and list possible explanations separately for a person to evaluate. We test by comparing drafts with human-written commentary and checking every figure. We add automatic checks that scan the draft for numbers not present in the data. The workflow then runs on schedule: collect, clean, calculate, draft, generate the document and send it to the reviewer, who edits and approves before distribution. We include a note on data freshness and any known issues. We set alerts for large changes, so that urgent problems are not left until the monthly report. We train the reviewer and document the process, including how to add a new measure; see standard operating procedure documentation. We cannot make poor data accurate, and AI commentary can miss business context only your team knows, but automated preparation saves hours and makes reports consistent.
