Influencer Outreach Coordination

We contact creators, agree terms, manage briefs and approvals, and keep every collaboration on schedule, so you do not have to chase anyone.

Finding Creators Is Only Half the Work

Once you know which creators you want, the real effort begins: writing to them, waiting for replies, negotiating, sending products, agreeing a brief, reviewing drafts, fixing mistakes, confirming posting dates and paying on time. Many campaigns lose weeks and goodwill in these steps.

Outreach coordination manages that workflow from first message to final payment. ViV Softech Solution, a website designing and digital marketing agency in Delhi, provides it within our influencer marketing services.

It starts where influencer research and campaign planning finish, and covers the execution side only.

What We Coordinate

First Contact

Personal messages, not mass blasts.

Terms and Rates

Fees, deliverables and usage rights.

Products and Access

Samples, visits, trials and logins.

Content Approvals

Drafts checked for facts and disclosure.

Posting Schedule

Dates spread and reminders sent.

Payments and Records

Invoices tracked, paid on agreed dates.

Respectful and Transparent

We write to creators honestly, say who the brand is, and never pretend to be a fan or hide that a post is paid.

We do not buy fake followers, engagement or comments, and we do not promise results, since creators’ audiences decide what works.

How We Coordinate Influencer Outreach

We take the approved creator list and the brief and set up a tracker that records, for every creator, the contact details, platform, agreed deliverables, fee, dates, status, links and notes. This sheet is shared with you so you can see progress at any time. We write the first message for each creator. A good message is short, personal and clear: who we are, the brand, why this creator was chosen, what we propose, rough budget or product and a simple next step. We use the preferred contact route, such as email, a business address in the profile or an agency manager, and we avoid pressuring anyone. We follow up politely after a few days, and stop if there is no interest. When a creator replies, we discuss terms. We cover the number and type of posts, formats, timing, fee or product value, usage rights for reposting or ads, exclusivity period, revisions, approval process, payment schedule and cancellation. We keep the negotiation fair and recommend that final agreements are put in a short written contract or email confirmation. We help you decide on rates by comparing with typical ranges and the creator’s reach and engagement, without making claims about what is standard in a specific market. We then send the brief and any materials: product details, key messages, assets, links, codes, hashtags, accounts to tag and rules on disclosure. We answer questions quickly, because delays are the main reason creators lose interest. If products need shipping, we arrange it and track delivery. For services or visits, we book times and brief your staff. When drafts arrive, we check them against the brief: accuracy of facts, no prohibited claims, correct links and clear sponsorship labels, and we send consolidated feedback in a friendly tone, leaving room for the creator’s style. We confirm the final posting date and remind creators a day before. After posting, we verify that content is live, links work and tags are right, and we capture screenshots and metrics at agreed intervals. If content is late, wrong or removed, we resolve it with the creator following the terms agreed. We handle payments: collecting invoices, checking them against the agreement and passing them to you or paying from your funds, as arranged, with all paperwork stored. We also look after relationships by thanking creators, sharing results where they allow and noting how easy each was to work with, which helps future campaigns; see influencer research for how those notes feed future selection. Finally, we supply a close-out report with all content links, metrics against plan and lessons; see campaign performance reviews. We cannot force creators to accept offers or guarantee on-time delivery, but a tracked, courteous process keeps the campaign moving.
