We start with a short discovery. We ask who you want to email, why people would sign up, what you plan to send and how often, what tools you already use and what you have tried before. We look at your existing lists, if any, where they came from and whether consent can be shown. This avoids importing contacts that could harm your sender reputation.
Next, we select the platform and create or review the account. We set the sender name, reply-to address, company details, physical address where required, default footer and unsubscribe settings. We create roles for team members so that only the right people can send or edit. We set up a sending domain, which is often a subdomain such as mail.yourdomain.com, so that email reputation is kept separate from your main business email in case of problems.
Authentication follows. SPF tells receiving servers which systems may send for your domain. DKIM adds a digital signature so messages can be verified. DMARC tells receivers what to do when checks fail and sends you reports. Together they improve delivery and protect your domain from misuse. We add the records at your DNS provider, verify them and check that existing business email is not disturbed. Domain authentication is described further on its own page.
Then we build the contact structure. We design lists, tags and segments around how you will actually use them: customers versus prospects, interests, location, purchase history, sign-up source and engagement level. A simple, clear structure is better than a complicated one nobody maintains. We create custom fields for the information you need, such as name, company, city or product interest, and we keep to the minimum necessary data.
We design sign-up forms and place them where visitors are likely to act: the website footer, a dedicated page, blog posts, checkout or a well-timed pop-up that does not annoy. Each form states what people will receive and how often, includes a clear consent checkbox where appropriate and sends new subscribers a confirmation or welcome email. We connect forms to the platform, test that data arrives correctly and, if your website uses a CRM or store, connect those systems too.
Templates come next. We build a branded template for newsletters and campaigns that works on phones, uses readable fonts, has sensible colour contrast and includes alt text for images. We test templates in common email programs. Finally, we run a pre-launch checklist: test sends to several inboxes, spam score checks, link and tracking checks, unsubscribe test and a review of the first campaign. We then train your team on the basics and hand over notes. We cannot promise inbox placement, since receiving systems make their own decisions, but good setup removes the main avoidable causes of poor delivery. See also email performance tracking.
