We start by understanding who needs to log in and what they are allowed to do. We list the user types, such as customers, staff, managers, partners and administrators, the data each can reach, the devices they use and the risks that matter, for example financial records, health data or private documents. We check existing systems, such as a current user database, a company directory, a CRM or a website membership plugin, since login often needs to work with what you already have. Next, we choose an approach. Options include email and password, phone number and one-time code, social sign-in, single sign-on across several of your apps, or a hosted identity service. We explain the trade-offs in plain language: speed of sign-up, support cost, security level, data location and cost per user. For many projects, a proven identity service or framework is wiser than a custom build. We design the user journey: sign-up, email or phone verification, first login, forgot password, change password, update contact details and account deletion. We keep forms short, error messages helpful and mobile screens easy to use; see app UI/UX design. For passwords, we store only secure hashes, never plain text, enforce sensible strength rules without absurd demands and limit repeated failed attempts. For OTP and two-step verification, we set expiry times, retry limits and fallback routes, and we integrate with an SMS, email or authenticator provider you choose. Costs for messages are paid to the provider. For roles and permissions, we define each role’s access in a simple table, then apply it in both the interface and the server, because hiding a button is not security. We add an audit trail of important actions, such as logins, role changes and data exports, where your needs justify it. We configure sessions with sensible lifetimes, secure cookies or tokens, sign-out from all devices and handling of lost phones. Where the login connects to other systems, such as a CRM, accounting package or learning platform, we integrate with approved interfaces; see third-party API integration and CRM and ERP integrations. We test every path: valid and invalid logins, expired codes, blocked accounts, reused links, role boundaries and mobile browsers, and we review for common weaknesses before launch. We document the system for your team, covering how to add users, reset access and remove former staff. After launch, we can keep the system updated; see application maintenance. We cannot remove all risk, and users still need to choose good passwords and guard their devices, but a careful design reduces the most common problems.
