User Roles and Permissions

Decide who can see, edit, export and delete which CRM records, so data stays protected and everyone can still work.

Your Customer List Is Valuable, Control Who Holds It

When everyone has full access, one departing employee can export the whole customer list, and one slip can delete a month of work. Roles and permissions give each person the access their job needs and nothing more.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, configures these within our CRM implementation services.

This page is about access inside the CRM. Fields and labels are custom fields and tags, website sign-in protection is login protection, and assigning leads is lead assignment and routing.

Least Access, Most Trust

Permissions are not a sign of distrust. They reduce mistakes and protect everyone, and we explain the reasons so the team accepts them.

What can be restricted depends on your CRM and its plan. We will say plainly what is possible, and permissions do not replace privacy compliance.

How We Set Up CRM Roles and Permissions

We begin by listing the people and the work they do. A salesperson needs their own leads and deals. A team lead needs their team’s. A marketing executive needs lead sources and campaigns but perhaps not deal values. An accountant needs invoices. An owner needs everything. An outside agency may need limited access for a short period. We group these into a small set of roles, usually four to six, as too many roles become hard to manage. For each role we decide four things: which records can be seen, which can be created or edited, which can be deleted and whether data can be exported or imported. We think about each type of record separately, such as contacts, companies, deals, tasks, notes, files and reports. In many businesses a salesperson sees only the records they own, while a manager sees the team’s, and admins see all. We also decide about sensitive fields, such as income, medical details, ID numbers or discount rates, which may be hidden or read-only for some roles; see custom fields and tags. We pay special attention to exports. A bulk download is the easiest way for customer data to leave the business, so we restrict it to a few roles and, where the CRM allows, keep a record of who exported what. We restrict deletion too, preferring archive or recycle options so errors can be undone. Next we configure the CRM. Depending on the tool, we create roles or profiles, set record ownership rules, create teams and hierarchies, and set sharing rules for special cases such as a shared pipeline or round-robin lead pool; see lead assignment and routing. We set up strong sign-in: unique logins for everyone, two-step verification for admins and managers, and session rules; see website security best practices. We design a joiner, mover and leaver process: who requests access, who approves it, how access changes when someone changes team and how it is removed the same day someone leaves, including reassigning their leads to avoid orphans. We test each role by logging in as sample users, checking what they can and cannot see or do, and verifying that dashboards and reports respect the limits; see CRM dashboard setup. We document the roles in a simple table and brief managers on their responsibilities. We recommend a quarterly access review in which someone checks the list of users, removes dormant accounts and confirms roles still fit. We cannot override limits built into a CRM plan or protect data once a person has legitimately copied it, and policy and training matter alongside settings, but clear roles keep customer records safer and the CRM easier to use.
