Custom Fields and Tags

Shape your CRM around your business, capturing the details you need and labelling contacts so they are easy to find.

A CRM Is Only as Useful as Its Data

Out of the box, a CRM knows names and phone numbers. It does not know your course of interest, property budget, treatment type or renewal date. Custom fields hold those details and tags label groups of contacts, so reports and campaigns can use them.

ViV Softech Solution, a website designing and digital marketing agency in Delhi, designs these within our CRM implementation services.

This page is about fields and labels. Pipeline stages are sales pipeline setup, who sees what is user roles and permissions, and loading old records is data import and migration.

Fewer Fields, Better Data

Every field costs someone time to fill. We keep only those that feed a report, a decision or a message, and we say no to fields nobody will use.

Fields hold personal data, so we avoid collecting more than needed and flag sensitive items for your privacy policy. Limits differ by CRM and plan, and we tell you what yours allows.

How We Plan Custom Fields and Tags

We start from the questions you want your CRM to answer. Which leads came from which campaign? Which customers are due for renewal next month? Which students asked about evening batches? Which enquiries are for large orders? Each question tells us which piece of data must be captured. We list the data you already collect, in forms, sheets and chats, and the data your team asks for on calls. We also review the CRM’s default fields so that we do not duplicate them. For each proposed field we record its name, type, who fills it, when, whether it is required and what it will be used for. The type matters. A dropdown prevents spelling variations and makes reports reliable, so we use it for service interest, budget range, city and lead source. A date field powers reminders such as renewal or birthday dates. A number field helps with order value and quantity. Free text is kept for notes only. We use checkboxes for yes or no questions, such as whether consent is given for WhatsApp messages. We organise fields into logical groups so the record is easy to read, and we set which ones appear on the contact, company and deal screens. Next we design tags. Tags are quick labels for groups that change often, such as an event attendee, a webinar lead, a VIP customer or a festival offer. We create a short, agreed list and a naming style, for example all lower case with hyphens, and we give guidance on when to use a field and when a tag. Fields suit structured, reportable facts; tags suit flexible grouping. We set rules to prevent clutter: who may create new tags, how often unused ones are cleaned up and how duplicates are merged. We map fields to your website and ad forms so that new leads arrive complete, and we plan the order of questions on the form to avoid putting visitors off; see website-to-CRM integration. Where data already exists elsewhere, we match fields for import; see data import and migration. We configure the fields in the CRM, set required rules at the right stages, build saved views and test with sample records and forms. We document each field in a data dictionary that explains meaning and allowed values, and we train staff on entering data the same way every time; see CRM usage training. The fields then feed reports and automations; see sales reporting automation. After a month we review which fields are blank, which are misused and which tags are never applied, and tidy up. We cannot make staff fill in fields or retrofit perfect data into old records, and every CRM limits the number and types of fields, but a short, well-named set of fields and tags makes the CRM searchable, reportable and trusted.
